Job Description

Documentation Quality Assurance (QA) Specialist We are looking for a detail-oriented Documentation Quality Assurance (QA) Specialist to review technical, business, process, and specialized documentation before it is delivered to clients. This role focuses on accuracy, completeness, consistency, usability, formatting, and overall documentation quality . You will work closely with Technical Writers, Documentation Specialists, Subject Matter Experts (SMEs), and Project Managers to ensure every document meets established quality standards. This is not a traditional software QA/testing position . The primary responsibility is quality assurance for professional documentation. Key Responsibilities Review documentation before internal approval and client delivery. Check documents for accuracy, completeness, clarity, consistency, and usability. Verify that documentation follows the approved scope, outline, template, and documentation standards. Identify missing steps, unclear instructions, conflicting information, and documentation gaps. Check whether procedures can realistically be followed by the intended user. Review terminology, headings, document hierarchy, numbering, tables, references, links, and formatting. Verify screenshots, diagrams, examples, code snippets, and supporting materials against the written instructions. Cross-check documentation against source materials provided by clients and subject-matter experts. Maintain QA checklists and document review records. Return documents to writers with clear, actionable revision requests. Perform final QA after revisions. Help maintain documentation templates, style guides, and quality standards. Track recurring documentation issues and recommend improvements to the documentation team. Documentation You May Review Projects may include: Technical documentation Software documentation API documentation Developer documentation User manuals System documentation Technical manuals SOPs Process documentation Work instructions Policies and procedures Operations manuals Training documentation Knowledge base articles Compliance documentation Construction or architectural documentation Healthcare and specialized industry documentation Technical Documentation QA For software and API documentation, you may review: API endpoints HTTP methods Parameters Authentication instructions Request and response examples JSON/XML examples Status and error codes Code snippets Integration instructions Installation procedures Configuration instructions Software workflows Troubleshooting procedures Internal and external links Version information You are not expected to be a software engineer, but you should be comfortable reviewing technical information and identifying areas that require clarification or verification from a developer or SME. What You'll Check Every document should be reviewed across several quality areas: Accuracy Does the documentation correctly represent the process, product, system, or source information? Completeness Are important steps, requirements, prerequisites, warnings, examples, or explanations missing? Clarity Can the intended audience understand the instructions without unnecessary assistance? Consistency Are terminology, formatting, capitalization, numbering, and writing style consistent throughout the document? Usability Can someone realistically use the document to complete the intended task? Structure Are headings, sections, navigation, tables, and information organized logically? Technical Quality Are technical terms, commands, API examples, links, screenshots, references, and specifications correct? Presentation Quality Does the final document look professional and follow the required template and formatting standards? Required Qualifications Excellent written English and proofreading skills. Exceptional attention to detail. Experience reviewing, editing, or creating professional documentation. Strong understanding of document structure and information organization. Ability to identify inconsistencies and missing information. Ability to distinguish between grammatical issues and actual documentation problems. Strong critical-thinking and fact-checking skills. Comfortable providing constructive and specific feedback to writers. Ability to manage multiple documents and deadlines. Comfortable working with unfamiliar industries and technical subjects. Preferred Experience Experience in any of the following is highly desirable: Technical writing Technical editing Documentation QA Software documentation API documentation SOP development Process documentation Copy editing Knowledge management Quality management systems Familiarity with Markdown, GitHub, GitBook, Confluence, Notion, Swagger/OpenAPI, Postman, Jira, Microsoft Word, and Google Docs is an advantage. What We're NOT Looking For This position is not simply about checking spelling and grammar. A strong Documentation QA Specialist should be able to recognize problems such as: "The instructions are grammatically correct, but Step 4 requires information that was never provided in Steps 1–3." or: "The API documentation lists a required parameter, but the request example does not include it." We need someone who can think like the person who will actually use the documentation. Sample Assessment Shortlisted candidates may receive a sample document containing intentional issues. You may be asked to identify: Missing information Conflicting instructions Incorrect terminology Formatting inconsistencies Unclear procedures Technical inconsistencies Broken document structure Missing prerequisites Grammar and readability issues Areas requiring SME verification You will then provide recommended corrections or revision comments. Our goal is simple: nothing should reach the client until it is accurate, complete, consistent, professional, and genuinely usable. Pay: Php25,000.00 - Php30,000.00 per month Work Location: Remote
