- The Groups and Events Executive is responsible for planning, coordinating, and executing events and group bookings to ensure a seamless experience for clients. This role involves liaising with clients to understand their needs, organizing logistics, managing budgets, and collaborating with vendors to secure services. Post-event, they gather feedback to evaluate success and inform future planning, ultimately aiming to deliver memorable events that exceed client expectations. Key Responsibilities - Group Reservation \& Block Management - Build, modify, and manage group room blocks in the PMS (preferably Opera Cloud) based on signed contracts and event details - Ensure room block accuracy (dates, rates, room types, cut-off dates, and allotments) - Monitor room nights booked vs. picked up and proactively flag discrepancies - Manage block wash, reductions, and extensions in alignment with attrition schedules - Maintain clear audit trails for all block adjustments - PMS \& System Expertise - Serve as the primary resource for group block management in Opera Cloud - Ensure group blocks are properly linked to reservations, routing instructions, and billing windows - Maintain accurate routing, tax setup, and direct bill instructions - Troubleshoot PMS issues related to group reservations and coordinate with internal teams when needed - Group Lifecycle Support - Manage groups from definite to departure and final billing - Input and update rooming lists accurately and on time - Coordinate with Front Office on arrivals, departures, and special rooming needs - Support post-departure reconciliation and folio accuracy - Billing \& Reporting - Ensure group billing instructions are correctly set up in the PMS - Support the creation and accuracy of final folios and invoices - Partner with Accounting to resolve discrepancies and ensure clean close-out - Maintain organized group documentation for audits and reporting - Cross-Functional Collaboration - Work closely with Sales \& Events teams to ensure contracts and PMS details are aligned - Communicate proactively with property teams to avoid operational issues - Support leadership with reporting on pickup, block status, and risks Qualifications - \& Experience - 2-4 years of experience managing group reservations in a luxury hotel environment - Hands-on experience with Envision, Opera Cloud, Reserve, Delphi, Infor HMS (highly preferred) - Proven expertise in group block management, rooming lists, and billing setup - Strong understanding of group contracts, attrition, and pickup management - Experience working cross-functionally with Sales, Front Office, Revenue and Accounting teams - Highly organized with excellent attention to detail and follow-through - Comfortable managing multiple groups across different timelines and properties - Excellent written and email communication skills - Job Type: Full-time - Pay: Php50,000\.00 per month Benefits - Additional leave - Company events - Health insurance - Opportunities for promotion - Paid training - Pay raise - Promotion to permanent employee - Work from home - Work Location: Remote
