We support residential and commercial projects, including: Custom home construction Whole-home and luxury remodeling Kitchen, bathroom, and basement remodeling Home additions Accessible remodeling Commercial construction and renovations Our team works with homeowners, property owners, estimators, project managers, architects, designers, vendors, subcontractors, and field crews. Who We Are Looking For We are looking for an experienced Construction and Remodeling Administrative Assistant who already understands how a U.S.-based construction or general contracting company operates. This is not a basic virtual assistant, data-entry, or general customer service position. The ideal candidate has direct experience supporting a U.S.-based: General contractor Remodeling company Custom home builder Construction company Home improvement contractor Roofing, restoration, or related home services company You should understand common construction workflows, including customer inquiries, estimates, proposals, contracts, permits, inspections, invoices, work orders, change orders, project schedules, and customer follow-ups. We need someone who is organized, proactive, detail-oriented, and capable of keeping multiple projects and tasks moving without constant reminders. Key Responsibilities Respond to customer calls, emails, text messages, and inquiries Schedule estimates, consultations, site visits, inspections, and project meetings Enter and update leads, customer information, project notes, and follow-up dates Track pending estimates, unsigned proposals, customer decisions, and open tasks Organize contracts, permits, invoices, estimates, plans, work orders, change orders, photos, and project files Follow up with homeowners, vendors, subcontractors, estimators, project managers, and internal teams Maintain accurate CRM records, spreadsheets, calendars, task lists, and shared folders Help coordinate project schedules, inspections, deliveries, and subcontractor activities Identify missing documents, incomplete information, conflicting details, and overdue tasks Route important information to the correct team member Prepare simple reports, schedules, project updates, and daily task summaries Escalate urgent customer, scheduling, payment, permitting, or project issues Required Qualifications Applicants must have: At least three years of administrative, project coordination, customer support, or operations experience At least two years of direct experience with a U.S.-based construction, remodeling, general contracting, or home improvement company Experience communicating with U.S. homeowners, vendors, subcontractors, estimators, project managers, or field crews Experience handling construction documents such as estimates, proposals, contracts, permits, invoices, work orders, change orders, plans, or schedules Strong written and spoken English Strong attention to detail and follow-up skills Ability to manage multiple projects, deadlines, and responsibilities Experience with Gmail, Google Calendar, Google Docs, Google Sheets, shared folders, CRM systems, or project management tools Ability to work independently and follow company processes Availability during Central Time business hours Reliable internet and a professional remote-work setup Preferred Experience Experience with the following is a plus: Custom home construction Residential or commercial remodeling Kitchen, bathroom, or basement renovations Home additions Permit and inspection coordination Vendor and subcontractor coordination Construction scheduling HubSpot, Buildertrend, Jobber, ClickUp, Monday.com, Asana, ServiceTitan, Housecall Pro, or similar tools This Role Is a Strong Fit If You Follow up without being reminded Keep accurate and organized records Communicate professionally with homeowners Notice when information or documents are missing Ask questions instead of guessing Can manage several active tasks at once Understand that construction schedules and priorities may change Take ownership of tasks until they are completed Clearly escalate urgent issues Are comfortable working with customers, office teams, and field personnel This Role Is Not a Fit If You Do not have U.S. construction, remodeling, contractor, or home services experience Only have general VA or data-entry experience Are unfamiliar with construction documents and workflows Need constant supervision or repeated reminders Struggle with customer communication, scheduling, details, or follow-ups Cannot work during Central Time business hours Prefer only simple and repetitive tasks What Success Looks Like A successful Administrative Assistant helps ensure that: New leads are recorded and followed up with Customer appointments are scheduled and confirmed Estimates and proposals are tracked Project notes and customer records remain accurate Documents are organized and easy to find Missing information is identified early Important deadlines and messages are not overlooked Customers receive clear and professional communication Project managers and field teams receive the information they need Your work will help prevent missed leads, delayed responses, scheduling problems, incomplete records, and avoidable project delays.
