About The Role We are looking for a highly capable Executive Assistant to work directly with the CEO as a true second brain. This is not a basic admin role. The CEO is fast-moving, highly entrepreneurial and manages multiple businesses, priorities, people, opportunities and problems at the same time. The right person must be extremely organised, patient, proactive and able to help create structure, clarity and follow-through. The Executive Assistant will help the CEO stay focused, remember important tasks, organise priorities, follow up with people, manage communications, track deadlines and make sure nothing important falls through the cracks. The ideal candidate is someone who can think ahead, connect the dots, ask the right questions, take ownership and reduce the CEO’s mental load. Key Responsibilities 1\. Executive Support and Organisation Manage the CEO’s calendar, appointments, reminders and daily priorities. Help organise the CEO’s tasks into clear action items. Track pending matters and make sure important follow-ups happen on time. Prepare daily and weekly priority lists. Remind the CEO of important deadlines, meetings, calls and unfinished tasks. Help turn scattered ideas, voice notes or quick instructions into structured tasks. Keep the CEO focused on the most important work instead of getting lost in too many competing priorities. 2\. Second Brain Support Maintain a central task tracker for all business and personal work-related matters. Record key decisions, next steps, waiting-on items and follow-up dates. After meetings or calls, ask the CEO for the outcome and update the tracker. Remember important context so the CEO does not need to repeat everything. Anticipate what needs to happen next. Flag anything that is urgent, delayed, unclear or at risk. Help the CEO close loops rather than simply start tasks. 3\. Communication and Follow-up Draft professional emails, WhatsApp messages and responses on behalf of the CEO. Follow up with staff, suppliers, clients, consultants and external parties. Prepare clear summaries of messages, emails and documents. Help manage inbox priorities and identify what needs the CEO’s attention. Keep communication professional, polite and firm where required. Make sure messages are accurate before anything is sent. 4\. Business and Operations Support Assist with tasks across jewellery, property, finance, admin, suppliers, customer follow-ups and general business operations. Coordinate with internal staff and external contractors. Help prepare documents, checklists, summaries and instructions. Follow up on open business matters until they are properly completed. Support the CEO with research, supplier coordination, client communication and operational tracking. Understand that some matters are sensitive and require approval before any commitment is made. 5\. Working Style The right person must understand that the CEO may move quickly between ideas, tasks and priorities. The role requires calm structure, not frustration. The Executive Assistant must be able to listen carefully, organise unclear information, ask clarifying questions and turn messy thoughts into practical next steps. The assistant should not wait passively for perfect instructions. They should help create order, remind the CEO what is pending and gently bring attention back to important priorities. Required Skills and Qualities Highly organised and detail-focused. Excellent written and spoken English. Strong follow-up skills. Able to manage multiple tasks without losing track. Calm, patient and emotionally mature. Able to work with a fast-moving entrepreneur. Strong judgement and confidentiality. Comfortable asking questions when something is unclear. Able to think one or two steps ahead. Good with task trackers, calendars, email, documents and basic business systems. Trustworthy, reliable and consistent. Able to work independently without needing constant supervision. Preferred Experience Previous experience as an Executive Assistant, Personal Assistant, Founder Assistant or Operations Assistant. Experience supporting a CEO, founder, business owner or high-pressure executive. Experience in luxury retail, jewellery, property, finance or professional services is helpful but not essential. Experience working with neurodivergent executives or ADHD-style working patterns is highly valued. Success in This Role Looks Like The CEO feels more organised and less mentally overloaded. Important tasks are tracked and followed up without constant reminders. Emails, messages and priorities are clearly managed. The CEO’s day becomes more structured and productive. Pending matters are not forgotten. The assistant understands the CEO’s working style and becomes a trusted support person. The assistant can take scattered information and turn it into clear action. Important decisions, conversations and follow-ups are recorded properly. Ideal Candidate Profile The ideal candidate is not just looking for a normal admin job. They enjoy bringing order to chaos.
