Biohack Yourself Media
Biohack Yourself Media Remote | Independent Contractor / Fractional Engagement Start Immediately | Paid 10-Day Initial Engagement Biohack Yourself Media is seeking an experienced controller-level Accounting & Finance Partner to help clean, separate, and strengthen the financial infrastructure of a fast-growing, founder-owned media business and its related entities. This is not a routine bookkeeping role. The engagement begins with an intensive 10-working-day paid sprint , working live each day with our bookkeeper to reconcile the books, organize records, establish stronger systems, and prepare the financials for senior oversight. Strong performance may lead to a larger ongoing fractional Controller/CFO engagement. Our immediate target is to have clean, correctly separated books ready for a September 1, 2026 cutover. About Us Biohack Yourself Media is a national health and longevity media company spanning print and digital publishing, events, brand services, and an audience reaching tens of millions monthly. Our magazine is distributed across approximately 5,200 retail locations in the U.S. and Canada. Revenue was approximately $1 million last year and is forecast at approximately $1.6 million this year. We are self-funded, profitable, and founder-owned. Biohack Yourself Media also sits within a larger family of businesses spanning media, production, streaming, technology, consumer brands, and real estate, with roughly 30 legal entities across the broader structure. The First 10 Days You will work directly and live with our bookkeeper each day, adding senior accounting depth and execution capacity while helping prepare the books for incoming financial oversight. Key priorities include: Reconciling bank accounts, credit cards, and payment processors Supporting the transition from our current QuickBooks-based environment into Xero Organizing approximately 12 months of financial records and source data Reconstructing intercompany balances and identifying expenses or revenue recorded in the wrong entity Establishing clean opening balances for the September 1 cutover Building appropriate tracking by company, brand, project, and channel Reviewing recurring expenses and identifying financial leakage Documenting entities, financial commitments, filing deadlines, renewals, and outstanding obligations Creating reporting processes and written SOPs so the system remains usable after the initial engagement Preparing a complete handover package for senior financial review Every working day should end with a clear deliverable. You will also provide a concise end-of-day update covering what was completed, what was discovered, blockers, the next milestone, and any decisions required. What the Ongoing Role May Include For the right person, the engagement may continue into ongoing accounting and Controller/CFO-level support, including: Monthly close by business day 10 Complete reporting package by business day 12 P&L reporting by company, brand, project, and channel Written financial commentary and recommendations Rolling 13-week cash forecasting 12-month revenue and cash projections Intercompany reconciliation and settlement Contractor commission calculations based on source data Quarterly reviews identifying financial gaps and leakage One number is particularly important: our COO receives compensation based on 20% of net operating income . The methodology behind that number must be clearly defined, coded consistently, visible during the month, and defensible. Current Environment The primary operating entity currently processes approximately 175 transactions per month . Volume is relatively low, but complexity is high because related companies have historically paid expenses on one another's behalf without always recording the intercompany activity correctly. Our financial environment includes QuickBooks Online, Xero migration, Square, PayPal, Payoneer, bank and credit-card accounts, and 1099 contractors . We are looking for someone capable of cleaning what exists while helping build a structure that prevents the same problems from recurring. Who We Are Looking For You should have: Controller-level accounting experience or stronger Hands-on experience with multi-entity books and intercompany accounting Experience completing a substantial accounting cleanup or system cutover Strong QuickBooks Online and Xero expertise Experience with Square, PayPal, Payoneer, and AP/payment platforms Strong reconciliation, reporting, and cash-forecasting skills The ability to document systems clearly as you build them Strong written communication and proactive follow-through Comfort working directly with founders, bookkeepers, and senior financial advisers We value people who bring solutions, not just problems. If something does not reconcile, we expect you to explain what you checked, what you believe happened, your recommended solution, and what decision you need. Engagement & Compensation The initial engagement is a paid, fixed-scope 10-working-day sprint . You will work remotely and collaborate live with our bookkeeper each working day. The initial sprint requires substantial overlap with the Philippines time zone , while an ongoing engagement will also require meaningful availability during U.S. business hours. The initial fee will be paid in two parts: 50% following the Day 5 review and 50% upon delivery of the Day 10 handover package. If the work is strong, there is a genuine opportunity to discuss an ongoing fractional accounting and finance role, although continued engagement is not guaranteed. How To Apply Please send a short, specific response covering: How you would enforce transaction coding by entity, brand, project, and channel at the point of entry. How you would approach the Xero transition and the current Square, PayPal, and Payoneer environment. Two or three comparable engagements involving multiple related companies, intercompany balances, or intermingled funds. Whether you believe the September 1 clean-books target is achievable and what would be required to meet it. Your proposed fixed fee for the 10-day engagement , estimated time commitment, and pricing for potential ongoing monthly Controller/CFO support. One financial or accounting risk you believe we should be worried about that we have not already identified. We will place significant weight on the final question.
