The Role We’re seeking an Executive Assistant & Business Operations Coordinator. This role is designed for a highly organized, proactive, and detail-oriented Executive Assistant & Business Operations Coordinator to support executive leadership across multiple businesses. In this role, you will serve as the executive's right hand, ensuring priorities remain organized, HubSpot CRM data is accurate, projects stay on track, and critical follow-ups never fall through the cracks. Marketing responsibilities are intentionally light and limited to proofreading, formatting, coordinating content, and reviewing AI-generated materials for quality and brand consistency. You’ll play a key role in This position is ideal for someone who thrives in a fast-paced environment, anticipates needs before being asked, is resourceful, confident, and takes ownership of keeping operations running smoothly. Location: Must be in Colombia – Remote. Environment: Colombian and International Teams. Language: Advanced English (B2+ - C1). Timezone: Monday to Friday – 9:00 AM to 6:00 PM – ET Contract: Non-fixed term contract. Requirements Education: Bachelor's degree in Business Administration, Management, Communications, Marketing, or a related field preferred. Experience: 3+ years of Executive Assistant or Business Operations experience. Hands-on experience with HubSpot CRM. Skills Excellent written and verbal English communication skills. Strong editing, formatting, and AI literacy. Characteristics: Exceptional organization, follow-through, and attention to detail. Highly resourceful with an ownership mentality. Responsibilities Executive Support: Manage executive calendars, inboxes, meetings, travel, and scheduling. Track priorities, deadlines, recurring tasks, and follow-ups. Prepare professional emails, presentations, reports, and client-facing documents. Maintain organized digital files and documentation. Business Operations: Coordinate projects, vendors, podcasts, online training initiatives, and administrative activities across multiple businesses. Monitor deliverables and proactively communicate status updates. Prepare administrative documents, spreadsheets, and simple invoices as needed. CRM & Sales Operations (HubSpot Required): Maintain accurate HubSpot records and data integrity. Generate reports and monitor sales pipeline activity. Support client onboarding and workflow coordination. Content & Administrative Support: Provide light administrative support for marketing initiatives. Review, proofread, and format AI-generated content and presentations. Coordinate with the existing marketing resource as needed. Maintain organized marketing assets and collateral.
