We're looking for a highly organized and proactive Project Assistant / Construction Coordinator to support our project delivery, procurement, compliance, scheduling, and administrative functions. Key Responsibilities Project Coordination \& Administration Maintain project trackers, schedules, and dashboards Coordinate project documentation and records Prepare meeting minutes and track action items Manage document control and filing systems Support project reporting and status updates Compliance \& Regulatory Support Assist with project insurance applications and renewals Prepare and submit compliance documentation Track approvals, deadlines, and project requirements Maintain project compliance registers and records Procurement \& Supplier Coordination Request and compare supplier quotations Issue purchase orders and track deliveries Maintain procurement schedules and supplier databases Monitor supplier performance and lead times Research alternative suppliers and cost-saving opportunities Utility \& Service Coordination Coordinate utility applications and approvals Track installation progress and outstanding actions Maintain utility connection registers Process Improvement Assist in developing systems, workflows, and SOPs Improve project tracking and reporting processes Support implementation of new business systems What We're Looking For Essential Skills \& Qualities Excellent written and verbal English communication Strong attention to detail and organizational skills Ability to manage multiple tasks and deadlines Proactive, resourceful, and self-motivated Strong problem-solving abilities Professional and reliable work ethic Ability to work independently in a remote environment Preferred Experience Construction administration Project coordination or project support Procurement or purchasing Property development or construction industry experience Experience working with Australian companies Technical Requirements Advanced proficiency in Microsoft Excel, Word, and Outlook is required for data analysis, complex formulas, and reporting functions PDF editing software OneDrive or cloud-based document management Stable internet connection and reliable computer Availability during Australian business hours Why Join Us?
