The Trade Promotions Analyst supports the Chains Sales team by managing the end-to-end process from promotional setup and entry through customer deduction resolution. The role ensures promotional plans, pricing, funding, and supporting documents are accurate and complete while researching and validating customer deductions. This position works closely with Sales Managers, Finance, Accounts Receivable, Customer Service, and other teams to resolve discrepancies, maintain accurate records, and ensure proper trade-spend management. Responsibilities Manage the complete workflow from promotional setup and entry through final customer deduction resolution. Enter and maintain promotional plans in AFS, ensuring customer, item, pricing, timing, funding, and event details are accurate. Maintain promotional calendars and supporting documents, including customer agreements, approvals, pricing, billbacks, and deduction-related records. Review promotional submissions for missing or inconsistent information and coordinate corrections with relevant stakeholders. Research customer deductions by matching claims against approved promotions, invoices, pricing, shipment records, and supporting documents. Validate deductions to ensure they are authorized, accurately calculated, properly documented, and aligned with the applicable promotion or customer agreement. Clear valid deductions through the appropriate systems and escalate unsupported, inaccurate, duplicate, or disputed claims. Track outstanding deductions and provide regular reports on balances, aging, missing documentation, disputes, and required actions. Coordinate with Sales, Finance, Accounts Receivable, Customer Service, and other teams to resolve discrepancies and obtain required documentation. Monitor promotional commitments, trade spending, and deduction activity to identify potential overspending, duplicate claims, pricing errors, and other financial risks. Reconcile promotional activities and deductions across AFS, TradePro, customer information, and internal financial records. Support monthly forecasting and demand-planning activities by maintaining accurate promotional information and account activity data. Conduct post-promotional reconciliation and basic analysis to identify budget variances, recurring deduction issues, and process improvement opportunities. Prepare recurring promotional, deduction, forecasting, and sales support reports for the Director of National Accounts and Sales Managers. Maintain standard procedures, timelines, documentation requirements, and controls related to promotional entry and deduction clearing. Provide backup support for selected Business Intelligence reports and routine KPI updates. Perform other related duties as assigned. Qualifications Associate or Bachelor's degree in a relevant field. 3–5 years of experience in a similar promotional, deduction, sales support, or related role. Experience or exposure to the FMCG and F&B industries. Strong organizational skills with the ability to work independently in a fast-paced environment. Ability to manage multiple assignments, recurring deadlines, and high-volume transactions. Knowledge of promotional setup, pricing, approvals, invoices, customer claims, trade spending, and deduction processes. Experience researching, validating, clearing, disputing, and resolving customer deductions. Proficiency in Excel, including Pivot Tables, XLOOKUP/VLOOKUP, IF statements, SUMIFS, data validation, and data reconciliation. Strong attention to detail with the ability to work accurately with large datasets, deduction logs, aging reports, and multiple source files. Comfortable learning and using AFS, TradePro, Cognos, customer portals, and other business systems. Strong analytical and problem-solving skills with the ability to identify discrepancies, investigate root causes, and recommend corrective actions. Excellent English communication skills and the ability to collaborate with Sales, Finance, Accounts Receivable, Customer Service, and other teams. Spanish proficiency is preferred but not required. Ability to prepare clear internal summaries and customer-facing presentations using approved PowerPoint templates.
