The Role: Grants and Donor Relations Specialist Imagine being the operational backbone behind a nonprofit's fundraising efforts, the person who keeps the grant calendar airtight, the donor pipeline organized, and every stewardship touchpoint on schedule. Every grant you research, every LOI you draft, and every briefing note you prepare helps turn funder relationships into sustained support for the mission. You're not just filing paperwork. You're helping shape how the organization shows up for its funders, from the first prospect research to the final thank-you note. Whether you're adapting a grant template for a new corporate funder, building a briefing packet ahead of a major donor meeting, or updating the CRM so no interaction is lost, your work directly shapes how well-resourced and well-run the development function becomes. You bring nuanced judgment to ambiguous situations, write with clarity and warmth, and don't wait to be told the next step. Whether you're managing a dozen grant deadlines at once, chasing down a past-giving summary before a meeting, or drafting the first SOP for a brand-new stewardship workflow, you bring rigor, initiative, and follow-through to everything you touch. What Your Days Might Look Like: Behind-the-Scenes Operations: Manage the master grant calendar, maintain the prospect pipeline, and handle all operational tracking for fundraising activities to ensure zero missed deadlines. Grant Coordination & Adaptation: Research potential foundation/corporate grants; write, adapt, and format grant applications using existing successful templates; upload pre-approved information into grant portals. Donor & Funder Briefings: Prepare detailed profiles, briefing materials, meeting agendas, past giving summaries, and recommended next steps for executive leadership prior to donor/funder interactions. Stewardship & Communications: Draft compelling campaign materials, appeal letters, thank-you notes, and varied personalized stewardship communications; schedule and pace donor outreach cadences. Database & CRM Maintenance: In tandem with internal team members, record all interaction logs, relationship histories, outcomes, and email communications within the CRM. SOPs & Systems Building: Establish clear development SOPs, workflows, and templates to preserve institutional knowledge and support year-end giving campaigns. Who We Think Will Thrive in This Role: You have 2–4 years of experience in non-profit development, grant administration, or donor relations operations You have a proven track record managing a grant calendar, tracking a prospect pipeline, and submitting applications through online grant portals You write well, with the ability to draft and adapt LOIs, donor stewardship notes, and campaign copy You have hands-on experience maintaining non-profit CRMs (e.g., Cielo) and keeping donor interaction histories current You're organized and can manage multiple grants, campaigns, and open threads at once You're resourceful when researching unfamiliar funders, portals, or compliance requirements You are willing to work in a US time zone schedule.
