Must have VA experience About The Role We’re looking for an experienced Operations & Administration Manager who can take full ownership of the company’s administrative and back-office operations across multiple markets. This is a hands-on leadership role for someone who is comfortable managing people, handling compliance, overseeing vendors and fleet, and making decisions independently . You’ll work closely with the COO but will be trusted to manage day-to-day issues without constant supervision. What You’ll Own Team & Administration Hire, train, and manage administrative team members across payroll, AR, AP, purchasing, bookkeeping/accounting, and future hires. Set clear expectations and hold team members accountable for performance. Build and improve the administrative team as the company grows. Compliance & Risk Manage insurance renewals, business licenses, sales tax filings, and other regulatory requirements across multiple states. Keep registrations and compliance deadlines up to date. Oversee compliance tasks handled by junior team members. Identify and address potential risks before they become problems. Fleet & Vendors Oversee vehicle registrations, titles, renewals, tolls, and related vendors. Manage the purchasing function to ensure materials are sourced reliably and cost-effectively. Review and manage back-office vendor relationships and contracts. Reporting & Leadership Support Provide the COO with a brief biweekly or monthly update covering what’s handled, what’s at risk, and what needs a decision. Resolve issues independently and escalate only significant budget concerns, legal risks, or hires above the agreed compensation level. What We’re Looking For 5+ years of experience in operations, office management, business administration, or a similar role. Proven experience managing and hiring employees , particularly functional specialists in areas such as payroll, finance, accounting, or purchasing. Experience managing compliance or administrative requirements across multiple states is strongly preferred. Strong organizational skills and attention to detail. Excellent judgment and problem-solving ability. Highly autonomous and comfortable making decisions without constant direction. Strong communication and leadership skills.
