About The Role • We are seeking an organised, professional, and service-oriented Operations Coordinator to support the delivery of multiple mentoring programs. This role combines client support, coordination, and administrative execution to ensure programs run smoothly from setup through to completion. • You will work closely with clients, mentors, mentees, and internal stakeholders, following structured processes and using an online platform to manage programs end-to-end. Key Responsibilities • Client & Participant Support • Act as a key point of contact for clients, mentors, and mentees • Respond to enquiries via email in a timely, professional, and helpful manner • Support clients in setting up and managing mentoring programs within the platform • Provide day-to-day guidance to ensure a smooth program experience • Program Coordination • Assist in the setup and administration of mentoring programs in the system • Support matching of mentors and mentees based on defined criteria • Coordinate program timelines, milestones, and communications • Support onboarding and training of program participants • Operations & Process Management • Ensure programs are delivered according to internal processes and client expectations • Track progress and proactively flag issues or risks • Maintain accurate records and documentation across systems • Support coordination with external or outsourced partners when needed • Administration & Reporting • Manage shared inboxes and communication channels • Assist with reporting, tracking, and data entry tasks • Support continuous improvement of operational processes and client experience Requirements • Minimum 3 years’ experience in customer service, client support, administration, recruitment coordination, or similar operational roles • Strong written communication skills with a professional and empathetic tone • Highly organised with strong attention to detail • Comfortable working with structured processes and online platforms • Ability to manage multiple tasks and priorities simultaneously • Client-focused and solutions-oriented mindset Nice to Have • Experience in client success, HR/admin, recruitment coordination, or program coordination • Exposure to learning & development, training, or mentoring programs • Experience working with SaaS or digital platforms
