Position Overview: We are looking for a detail-oriented and experienced Team Leader to oversee a team of medical coders in the Philippines. The role is integral to ensuring that all coding activities meet quality standards and regulatory guidelines, while also managing daily operations, team performance, and client communications. You will be responsible for leading and mentoring your team, driving performance improvements, and ensuring efficient coding processes. Your leadership will contribute to the accuracy, timeliness, and success of the coding team and will directly impact the agency’s overall performance metrics, including star ratings. Expertise in ICD-10 , OASIS, and CMS guidelines. Minimum of 3-5 years of experience in medical coding, with at least 1-2 years in a leadership or supervisory role. Proficiency in using medical coding software , EHR systems , and Microsoft Office Suite (Excel, Word, PowerPoint). Skills & Competencies: Leadership: Strong ability to lead, motivate, and mentor a team, with a focus on improving performance and quality. Communication: Excellent written and verbal communication skills, with the ability to engage with both internal teams and external clients. Quality Focus: Strong attention to detail and a commitment to maintaining high coding standards. Problem-Solving: Ability to troubleshoot and resolve issues related to coding, staffing, or workflow. Time Management: Ability to handle multiple tasks, prioritize effectively, and meet deadlines. Adaptability: Ability to adapt to new coding guidelines, tools, and changes in client requirements. Additional Requirements: Fluent in English, both written and spoken. Strong understanding of HIPAA compliance and confidentiality standards. Ability to work under pressure and handle sensitive situations with professionalism. Flexibility in working hours, including availability for overtime or weekend work as needed. Key Responsibilities Team Management & Leadership: Lead, motivate, and supervise a team of medical coders, ensuring consistent performance and adherence to quality standards. Communicate priorities, updates, and issues to the team in a timely manner. Coach each team member monthly or weekly if performance issues arise (e.g., low QA scores, attendance). Conduct monthly one-on-one coaching sessions, and provide feedback, training, and education to coders to address any issues. Manage staffing requirements, including attendance, leave, and attrition, ensuring proper communication with management. Track and monitor team member allocations and completion progress, ensuring that all priority charts are completed on time. Perform spot checks on coding work to maintain high quality and accuracy. Quality Control & Reporting: Ensure that all client folders, materials, and trackers on SharePoint are regularly updated, complete, and compliant with agency standards. Ensure timely submission of daily, weekly, and monthly reports , including team KPIs, CREs (Clinician Error Reports), and coding performance. Review, validate, and track CREs, providing feedback to individuals and conducting team-wide reinforcement sessions on common issues. Identify trends and address performance concerns (e.g., missed deadlines, quality issues) by coaching and implementing corrective actions. Ensure all forms are uploaded to Clinix and SharePoint , and track progress using appropriate trackers (e.g., Prod Log, Clinician Error Tracker, Pended Charts). Client & Internal Communication: Serve as the primary point of contact for communication between the coding team, management, and clients. Attend assigned agency update calls and ensure your team members are present, engaging in discussions and contributing to the workflow. Respond to client and internal emails promptly and professionally, ensuring that all queries are addressed within established timelines. Prepare summaries and updates for agency calls and meetings, ensuring that all required information is documented and communicated clearly. Performance Monitoring & Issue Resolution: Monitor team performance and productivity, tracking key metrics such as coding accuracy, turnaround time, and volume completion. Flag any issues or bottlenecks in the coding process to management, ensuring that actions are taken to address challenges. Track attendance, report absences, and ensure team members are adhering to work schedules. Ensure all work is allocated based on targets and agency assignments, and recheck workability during low-volume days. Daily, Weekly, and Monthly Tasks: Daily: Check team attendance, monitor work allocation, update trackers, and handle CREs and priority tasks. Weekly: Conduct team huddles, plot coaching sessions, monitor KPIs, attend relevant meetings, and report on team performance. Monthly: Submit MTD (Month-to-Date) performance reports, review and track team KPIs, and ensure all coding activities are logged and documented. Key Deliverables: SharePoint: Ensure all client folders, individual folders, materials, and trackers are updated regularly. Reports: Send reports on time, including performance metrics, CREs, and staffing updates. Emails: Respond to all agency and internal emails in a timely manner. CREs: Ensure all CREs are reviewed, validated, and tracked, with feedback and educational reinforcement given to the team. Staffing: Communicate attendance, leaves, and attrition to management effectively. Allocation: Assign tasks based on targets and agency requirements, monitor work completion, and ensure priority charts are completed. Communication: Maintain clear and effective communication with the team, management, and clients. Coaching: Coach team members monthly, or more frequently if performance issues arise (e.g., QA scores below 98%).
