About Us Our clients are mission-driven membership organizations, mostly chapters of the Entrepreneurs' Organization - a global network of business owners. Their leaders are volunteers running companies of their own, so we run the operations behind them: events, communications, finance, member records, and the systems that hold it all together. You will have a manager, a documented process library, teammates who cover for you when you are out, and a clear path for anything that needs escalating. About The Role You will support our executive team, keeping calendars, inboxes, and priority projects moving so leadership can stay focused on strategy rather than logistics. We are looking for someone who holds context, not someone who waits to be told. The people who do best in this seat are the ones who notice the meeting that should not have been accepted, the email thread that has gone quiet, and the document three people are about to duplicate. What you'll do Own executive calendars - protecting time for the work that matters and resolving conflicts before they become a problem. Manage inboxes: triage what comes in, answer what you can, and route the rest. Take on delegated projects and see them through without needing to be re-briefed. Handle confidential documents, communications, and records with discretion. Keep documentation, meeting notes, and reference materials organized and easy to find. Prepare documents, presentations, and basic graphics, and keep records current in QuickBooks, Google Sheets, Excel, and Airtable. Spot the things that are slowing leadership down, and suggest a better way. Pitch in with the wider VI team when executive workload allows. What we're looking for Experience supporting a senior executive, ideally for a US-based company. Excellent written and spoken English. Real calendar judgment - understanding which meetings should happen and when, not just booking. Proven discretion. Confidential information passes through this role constantly. Comfort with ClickUp or a similar task platform, and the ability to pick up ClickUp quickly. The ability to juggle competing priorities and re-prioritize on your own. A proactive instinct. You flag problems early and ask the clarifying question rather than guessing. Nice to have QuickBooks experience, a background in nonprofits or membership organizations, design skills in Canva, or experience with Airtable, CRM, or similar automation and campaign tools. Tools you'll use Google Workspace, Microsoft Office, Slack, Zoom, ClickUp, and Toggl day to day. We will train you on Trainual, Lattice, LastPass, Airtable, Canva, QuickBooks, PropFuel, Eventbrite, and the EO Hub - prior experience is a bonus, not a requirement.
