Job Description

Executive Assistant Position Overview We are looking for a highly proactive and resourceful Executive Assistant who thrives on getting things done. This role goes beyond traditional administrative support—you will serve as the operational right hand of a business owner, ensuring priorities are executed efficiently from start to finish. You won't simply manage calendars or send reminders. You'll take ownership of tasks, anticipate next steps, solve problems independently, and drive projects to completion with minimal supervision. Key Responsibilities Executive & Operational Support Manage the executive's calendar, meetings, priorities, and daily workflow. Take full ownership of assigned tasks from initiation through completion. Track action items, follow up with stakeholders, and ensure deadlines are met. Identify roadblocks, gather necessary information, and resolve issues proactively before escalating. Task & Project Execution Drive projects forward with minimal supervision. Coordinate with internal and external stakeholders to ensure deliverables are completed on time. Monitor outstanding requests, documents, approvals, and correspondence until fully resolved. Maintain organized task management systems and ensure nothing falls through the cracks. Inbox & Communication Management Manage and prioritize a high-volume executive inbox. Screen emails, identify urgent matters, and prepare professional response drafts. Draft formal business correspondence, reports, proposals, and other executive communications. Communicate confidently with clients, government agencies, business partners, and third-party organizations via email and phone. Proactive Administrative Support Anticipate executive needs before they arise. Prepare meeting agendas, briefing documents, and follow-up action items. Organize files, documentation, and operational processes for maximum efficiency. Recommend process improvements to streamline daily operations. Research & AI Utilization Conduct research on companies, industries, regulations, competitors, and market trends. Utilize AI tools to support research, documentation, and content drafting. Review, refine, and edit AI-generated content to ensure professionalism, accuracy, and context. Requirements Qualifications Minimum 5 years of experience as an Executive Assistant supporting a CEO, Founder, Business Owner, or other C-Level Executive. Proven ability to work independently and manage tasks with minimal supervision. Excellent written and spoken English communication skills. At least 2 years of experience in a professional corporate environment such as Legal, Finance, Manufacturing, or Consulting. Minimum 1 year of hands-on experience using AI tools (e.g., ChatGPT, Claude, or Perplexity) for research and business writing. Advanced proficiency in Microsoft Office 365 and Google Workspace.
