Executive Assistant \& Account ManagerSupporting Two Directors Across Two Fast-Growing Australian Businesses Location: Philippines (Remote) Employment Type: Hourly-Based, Long-Term Opportunity We are seeking an exceptional Executive Assistant \& Account Manager to provide direct support to two Directors across two growing Australian businesses. This is a dynamic, fast-paced role for someone who thrives on organization, accountability, customer relationships, team coordination, and getting things done. You will become a key member of our team, helping manage priorities, customers, projects, staff, and communications across both businesses. This role is ideal for someone who is proactive, highly organized, confident, and capable of keeping multiple moving parts on track. We are looking for a true right-hand person who can help drive accountability, ensure tasks are completed, and keep both Directors focused on their priorities. About The Role You will work directly with two Directors and be responsible for executive support, account management, customer care, team coordination, and operational support across both businesses. Executive Support Responsibilities · Calendar, schedule, and appointment management · Inbox and email management · Travel planning and coordination · Meeting preparation and follow-up · Project and task coordination · Administrative support across both businesses · Maintaining business documentation and records · Supporting the Directors with day-to-day operations and priorities Account Management \& Customer Care Responsibilities · Building and maintaining strong customer relationships · Acting as a key point of contact for customers, suppliers, and partners · Managing customer enquiries and communications · Delivering exceptional customer service and follow-up · Ensuring customer issues are resolved promptly · Supporting customer retention and satisfaction initiatives · Assisting with supplier and stakeholder relationship management · Maintaining accurate records and communication histories Team Leadership Responsibilities You will also oversee and coordinate two existing team members. Responsibilities include: · Providing direction and day-to-day support to staff · Monitoring workloads, priorities, and task completion · Holding team members accountable for deadlines and deliverables · Following up to ensure projects and tasks are completed to a high standard · Identifying issues, bottlenecks, and opportunities for improvement · Acting as the primary link between staff and the Directors · Providing regular updates, reports, and feedback to the Directors · Escalating concerns or challenges when required · Ensuring clear communication and alignment across both businesses What We’re Looking For The ideal candidate will have: · Minimum 3 years’ experience as an Executive Assistant, Account Manager, Operations Coordinator, Client Services Manager, or similar role · Experience supporting business owners, founders, or senior executives · Strong customer relationship and account management experience · Previous experience managing or coordinating team members · Excellent written and verbal English communication skills · Exceptional organizational and time-management skills · Outstanding attention to detail · Strong problem-solving abilities · Confidence communicating with customers, suppliers, staff, and senior stakeholders · Ability to work independently with minimal supervision · Experience managing competing priorities across multiple areas of a business Key Traits for Success We are looking for someone who: · Is exceptionally proactive and takes ownership of their work · Has outstanding follow-up skills and drives tasks through to completion · Is comfortable holding people accountable for deadlines and commitments · Can confidently follow up multiple times when required to ensure nothing falls through the cracks · Keeps projects, tasks, and communications moving forward without being asked · Is not afraid to respectfully challenge, remind, and push for action when priorities are at risk · Can keep two busy Directors organized, focused, and accountable · Thrives in a fast-paced environment · Enjoys creating structure, systems, and organization · Takes pride in delivering an exceptional customer experience Requirements · Must be based in the Philippines · Must be available to work Australian business hours · Must be comfortable supporting two Directors across two separate businesses · Must be able to effectively manage multiple priorities, projects, and communications on behalf of both Directors · Must have reliable high-speed internet · Must have a professional home office setup · Must have a reliable computer and equipment · Must have a reliable and modern smartphone that is operational and accessible throughout working hours · Must be comfortable making and receiving business calls when required · Must have excellent internet connectivity suitable for video meetings, customer communications, and day-to-day operations · Must have a backup internet solution available in the event of outages · Must be highly responsive during working hours across phone, email, and messaging platforms · Must be flexible and willing to adjust working hours occasionally when supporting the Directors during business travel, events, product launches, or other critical business activities · Must be comfortable providing support outside standard business hours from time to time when business needs require it Employment Details · This is an hourly-based position · Hours may increase or decrease depending on business requirements · While ongoing work is expected, flexibility is required as workloads may vary · We are seeking a long-term team member who wants to grow with the business and become an integral part of our success Why Join Us?
