As an HR Onboarding Specialist at ClearDesk , you’ll guide new hires through key stages of the employee lifecycle, with a strong focus on job offer and salary discussions, requirements gathering, background checks, onboarding coordination, and new hire orientation. You’ll help ensure each new hire moves smoothly from accepting their offer through completing their requirements, onboarding, and preparing for training—while creating a positive first impression of the company along the way. The Role: HR Onboarding Specialist Imagine being one of the first HR contacts a new hire has after accepting an offer. You’re not just checking boxes—you’re helping make the transition from candidate to employee organized, seamless, and welcoming. As an HR Onboarding Specialist at ClearDesk , you’ll manage key stages of the candidate-to-employee lifecycle, from conducting job offer and salary discussions to gathering requirements, completing background checks, coordinating onboarding, and facilitating new hire orientation. You’ll work closely with cross-functional teams across the organization, coordinating each stage of the onboarding process and ensuring new hires are properly transitioned and prepared for a successful start. What Your Days Might Look Like Conduct job offer meetings, clearly explaining salary, benefits, terms, and expectations while addressing candidate questions. Support salary assessments and ensure offers align with company compensation guidelines. Gather, review, and track all required pre-employment and onboarding documents. Conduct and document background and reference checks, escalating discrepancies or concerns when needed. Coordinate the end-to-end onboarding process, ensuring requirements, systems access, and other pre-start items are completed on time. Facilitate new hire orientation, introducing employees to company culture, policies, tools, processes, and expectations. Coordinate closely with Recruitment, Learning & Development, Matching, and HR to ensure smooth handoffs between stages. Maintain accurate onboarding trackers and proactively follow up on outstanding requirements or blockers. Serve as a point of contact for candidates and new hires, providing timely and professional support throughout the process. Identify opportunities to improve onboarding workflows and the new hire experience. Who We Think Will Thrive in This Role 1–2 years of experience in HR, onboarding, recruitment coordination, training, People & Culture, or a similar role. College degree preferred; open to undergraduates with relevant experience and skills. Experience as an HR Coordinator, Trainer, People & Culture Coordinator, Recruitment Coordinator, or similar is a plus. Strong verbal and written English communication skills, with confidence leading offer discussions and orientations. Approachable and personable, with the ability to make candidates and new hires feel comfortable. Highly detail-oriented and organized, with strong follow-through and the ability to manage multiple new hires at different stages. Comfortable handling confidential candidate, compensation, and employee information. Able to identify discrepancies, missing requirements, and potential issues and escalate them appropriately. Comfortable working with Excel or Google Sheets for tracking and organizing information. Familiarity with HRIS, ATS, or onboarding platforms is a plus. Comfortable working a fixed U.S.-time schedule. You can secure the required technical setup, including: Primary internet connection of at least 35 Mbps with a reliable backup. Main computer with Intel Core i5 (or equivalent) and 8 GB RAM. Backup laptop, backup internet device, and backup power source. 720p HD webcam and noise-canceling headset. Nice to Have Qualifications Experience in a high-volume HR or onboarding environment. Strong Excel/Google Sheets skills. Experience using HRIS, ATS, or onboarding workflow tools. Experience working in a BPO, remote, or fast-paced environment. Background in employee training or Learning & Development. Familiarity with salary structures, compensation, or salary benchmarking. Why ClearDesk?
