Manhattan Mental Health Counseling is a growing, U.S.-based telehealth mental health practice dedicated to providing compassionate, high-quality care. We are seeking a highly organized, empathetic, and detail-oriented Patient Intake Coordinator to manage front-line communications with incoming clients. In this role, you will evaluate new inquiries, conduct initial clinical screenings, verify insurance coverage, coordinate appointments, and maintain meticulous records within our EHR system. Key Responsibilities As our Client Intake Coordinator, you will be the central connection between clients and therapists. Your responsibilities will include: Clinical Intake: Conduct empathetic initial phone consultations with US clients to assess their presenting mental health concerns, clinical history, financial arrangements, and overall therapeutic preferences. Insurance Eligibility & Verification (VOB): Contact US commercial payers (e.g., Aetna, BCBS, UnitedHealthcare, Cigna) and government plans (Medicare/Medicaid) to confirm active coverage, copays, deductibles, coinsurance, and behavioral health benefit rules. Financial Intake: Process payments, co-pays, deductibles, and assist clients with routine billing inquiries in a clear, supportive manner. EHR Management: Accurately update Patient Health Information (PHI), demographic data, emergency contacts, and medical history within our EHR platform. Scheduling: Schedule initial appointments, manage provider calendar availability, and dispatch digital intake packets (consent forms, release of information, practice policies). HIPAA & Compliance: Safeguard sensitive PHI in accordance with HIPAA privacy regulations, Security Rules, and internal practice guidelines. Required Qualifications To be successful in this role, you must meet the following criteria: Minimum of 3 years of experience in US healthcare operations as an Intake Specialist, Medical Virtual Assistant, or in a similar administrative role. Proven experience working independently in high-volume US healthcare or outpatient mental health settings, with direct exposure to clinical workflows, patient communication, and administrative decision-making ( Note: BPO / Call Center experience does not qualify ). Hands-on experience with US patient intake, benefit verification (VOB), and insurance pre-authorization is strictly required. Skilled at managing high-volume patient calls with composure, strong organization, and steady empathy under pressure. Exceptional spoken and written English skills with neutral accent, active listening, and high empathy when assisting patients in distress. Proficient in navigating and managing US EHR/EMR platforms. Absolute commitment and availability to work fixed US EST business hours (Graveyard shift in the Philippines) with zero attendance or punctuality issues.
