Company Description Remote Talent is an Australian-based virtual assistant and offshore staffing agency that helps businesses scale with high-quality, reliable talent from the Philippines and beyond. We specialise in sourcing, training, and managing dedicated VAs across admin, customer support, finance, marketing, and industry-specific roles including NDIS, healthcare, property, and trades. Role Description We are seeking an experienced NDIS Senior Bookkeeper to support a growing NDIS provider with approximately 100 support workers. The successful candidate will take ownership of the day-to-day bookkeeping function and ensure management has accurate, reliable and timely financial information. This role requires someone with genuine NDIS bookkeeping experience, strong Australian bookkeeping knowledge and the ability to work independently without requiring constant direction. The ideal candidate should be able to enter the business, understand the existing systems and processes, ask the necessary initial questions, and then confidently manage their responsibilities with minimal supervision. Key Responsibilities Bookkeeping & Financial Management • Maintain accurate and up-to-date financial records • Complete regular account reconciliations • Reconcile transactions between operational systems and Xero • Identify and investigate financial discrepancies • Correct coding and reconciliation errors • Maintain an accurate general ledger • Ensure financial transactions are allocated to the correct accounts • Maintain organised supporting documentation • Assist with month-end bookkeeping processes • Maintain accurate financial data for management and external accountants Profit & Loss Reporting • Prepare accurate monthly Profit & Loss statements • Ensure P&L reports are completed within agreed monthly deadlines • Review financial data before reports are provided to management • Correctly categorise wages and operational expenses • Identify unusual movements or discrepancies • Provide clear explanations for significant variances • Ensure management receives reliable figures for business decision-making • Assist with departmental or service-level reporting where required NDIS Financial Reporting • Understand the financial structure of an NDIS provider • Correctly categorise NDIS-related labour costs • Understand differences between ordinary hours, evening shifts, sleepovers and overtime • Ensure support worker costs are correctly represented within financial reporting • Understand the impact of NDIS service delivery on business profitability • Assist management in understanding service and workforce costs • Maintain accurate financial reporting across NDIS operations BAS & IAS Support • Assist with the preparation of BAS • Assist with the preparation of IAS • Maintain accurate records required for statutory reporting • Ensure bookkeeping records are reconciled before reporting periods • Identify discrepancies before information is submitted • Work closely with the external accountant where required • Provide supporting documentation and reconciliations • Ensure reporting information is accurate and delivered on time Payroll & Payroll Tax Support • Review payroll-related financial information • Reconcile payroll figures against financial records • Assist with preparing accurate payroll tax figures • Identify discrepancies before payroll tax information is lodged • Review wage classifications and expense allocations • Ensure payroll-related expenses are correctly reflected in financial reports • Escalate significant discrepancies to management • Work with management and external accountants when clarification is required Reconciliations • Complete regular bank and account reconciliations • Reconcile invoicing information against Xero • Identify missing, duplicated or incorrectly coded transactions • Investigate unreconciled transactions • Maintain reconciliation schedules • Ensure reconciliations are completed consistently rather than accumulating over time • Communicate outstanding issues clearly to management Collaboration With Accounts Team The organisation already has an accounts team member responsible for elements of invoicing. The Senior Bookkeeper will work alongside the existing accounts function rather than duplicate responsibilities. Key collaboration responsibilities include: • Reviewing financial information flowing into Xero • Reconciling invoices and transactions • Identifying inconsistencies • Ensuring financial records remain accurate • Working with the accounts team to resolve discrepancies • Supporting management with accurate financial reporting Required Experience The successful candidate must have: • Previous bookkeeping experience with an Australian NDIS provider • Strong practical experience using Xero • Experience preparing monthly Profit & Loss statements • Strong reconciliation experience • Experience with BAS and IAS preparation or bookkeeping support • Understanding of Australian payroll and payroll-related bookkeeping • Understanding of payroll tax reporting • Strong knowledge of Australian bookkeeping practices • Excellent numerical accuracy • Strong attention to detail • Strong written and verbal English communication • Ability to work independently • Ability to identify and resolve discrepancies without constant supervision NDIS Knowledge Required The candidate must understand: • NDIS provider operations • Support worker payroll structures • NDIS-related wage and labour costs • The difference between evening rates, sleepover arrangements and overtime • How incorrect wage categorisation can impact management reporting • The importance of accurate financial reporting within a labour-intensive NDIS business General bookkeeping experience alone will not be sufficient. Highly Preferred • Experience supporting an NDIS provider with 50+ support workers • Previous experience with a medium-to-large disability services organisation • Experience working with Visual Care • Advanced Xero experience • Experience preparing management accounts • Experience working with Australian external accountants • Strong understanding of the SCHADS Award from a bookkeeping and payroll perspective • Experience reviewing payroll tax calculations • Previous senior bookkeeping responsibilities Key Skills & Attributes The successful candidate should be: • Highly accurate • Independent • Proactive • Analytical • Accountable • Detail-oriented • Commercially aware • Strong at problem-solving • Comfortable questioning figures that do not look correct • Confident raising financial concerns with management • Able to prioritise deadlines • Able to work without constant supervision • Reliable and responsive during working hours Independence & Ownership This is particularly important for this position. The successful candidate should not require management to provide step-by-step instructions for standard bookkeeping responsibilities. They are expected to: • Understand their responsibilities • Ask intelligent questions during onboarding • Learn where information and systems are located • Take ownership of recurring bookkeeping tasks • Identify errors independently • Recommend solutions • Escalate matters when necessary • Follow tasks through to completion • Think critically rather than simply following instructions Systems Experience with the following is highly desirable: • Xero • Visual Care • Microsoft Excel • Google Sheets • Microsoft Office • Australian payroll systems • Online banking and financial reporting platforms Direct banking login access will not be provided. The bookkeeper must be capable of completing their responsibilities using approved financial information and appropriate access controls. Key Performance Indicators Performance may be measured against: • Monthly P&Ls completed accurately and on time • Reconciliations completed on schedule • Number of unresolved reconciliation items • Accuracy of payroll-related financial reporting • Accuracy of payroll tax information • BAS and IAS information prepared on time • Number and materiality of bookkeeping errors • Timeliness of month-end processes • Responsiveness during working hours • Accuracy of financial records • Management confidence in reported figures Important Role Clarification This position is for an experienced Bookkeeper, not a junior finance administrator and not simply a data-entry role. The business requires someone capable of independently managing bookkeeping responsibilities and providing management with financial information they can confidently use to make decisions. The candidate must understand that inaccurate reporting can have a significant financial impact on the organisation. Accuracy and ownership are therefore critical requirements of this role.
