Job Description

A rare hybrid role for someone who is equally sharp in executive support and financial administration — this is not an entry-level position, and it is not for generalists. The Role This is a dedicated, full-time remote position where you will serve as the operational backbone for a director-level executive, managing everything from diary and correspondence to accounts receivable, financial reporting, and business development pipeline tracking. The scope is deliberately broad — this role was designed for someone who moves comfortably between executive administration and finance support without losing precision in either. You will own multiple workstreams simultaneously and be trusted to run them with minimal hand-holding. What You Will Do ▸ Provide end-to-end executive support including diary management, scheduling, and professional correspondence on behalf of the director. ▸ Manage accounts receivable in Xero, including raising invoices and performing day-to-day reconciliation. ▸ Assist with BAS preparation support and broader finance administration tasks as required. ▸ Produce financial reports using Excel or Google Sheets, with accuracy and clarity expected as standard. ▸ Administer documents and project files across SharePoint and OneDrive, maintaining clean, accessible, and well-structured systems. ▸ Handle client-facing written correspondence and produce polished business documents to a professional standard. ▸ Track and maintain business development activity and pipeline records to support the director's commercial oversight. What You Bring ✔ Demonstrated proficiency in Xero for invoicing, reconciliation, and BAS preparation support — this is non-negotiable. ✔ Strong written English skills with direct experience producing client-facing correspondence and formal business documents. ✔ Hands-on experience managing files and project documentation in SharePoint and OneDrive. ✔ Confident use of Excel or Google Sheets for financial reporting, including building and maintaining structured reports. ✔ A proven ability to operate with high autonomy across multiple concurrent workstreams, without requiring close supervision to stay on track. ✔ A background in construction or professional services administration — candidates with this experience will be given strong preference.
