Automation Specialist (GoHighLevel + Monday.com) Artillery Philippines is a fast-growing online education company helping aspiring artists turn their ideas into finished manga projects. We guide students from learning fundamentals to actually creating their own work. With 200+ active students and 10,000+ leads generated through organic YouTube content, we are now scaling toward $100k/month and building the internal systems to support that growth. We are looking for a Remote CRM & Automation Specialist to support internal systems, automation, and data infrastructure across the company. The goal of this role is to build and maintain scalable, efficient systems that support marketing, sales, and student operations by leveraging tools like GoHighLevel, Airtable, and integrations. You will be responsible for implementing and maintaining systems across: GoHighLevel (marketing + sales CRM) Airtable (student lifecycle tracking) Monday.com Zapier and other integrations You will work closely with our Operations Manager, who defines the system architecture and workflows. Your role is to build, implement, and maintain these systems cleanly and efficiently. This role is ideal for someone who enjoys building organized, scalable systems and solving operational problems through automation. Responsibilities CRM & Automation Implementation Build and maintain workflows inside GoHighLevel Implement lead routing and round-robin sales assignments Implement UTM-based lead source tracking Maintain clean tagging and naming conventions Troubleshoot automation issues Airtable System Management Build and maintain student lifecycle databases Create relational tables for students, sessions, and milestones Implement formulas and automations for tracking progress Create filtered views for internal teams Integrations & Automation Build and maintain Zapier or API-based automations Connect GHL, Airtable, and other tools Monitor automation health and resolve errors Systems & Process Management Test automations before deployment Maintain documentation of system structure Improve workflows to reduce manual work Ensure data accuracy across systems General Operations Support Support leadership with system-related needs Assist in cross-functional automation projects Take ownership of improving internal systems Example Projects You Will Work On Eliminating manual sales lead lists through automated lead routing Implementing attribution tracking for organic vs paid leads Migrating student tracking from Google Sheets to Airtable Creating automated milestone tracking for student progress Improving internal dashboards for operational visibility Requirements Must-Have: Stable internet connection Own desktop or laptop 3–5+ years experience with CRM systems or marketing automation Strong hands-on experience with GoHighLevel Experience building Airtable relational databases Experience with Zapier or API-based integrations Experience working with sales or marketing pipelines Strong systems and process thinking High attention to detail Excellent English communication skills Reliable and consistent Able to work independently Nice to have: Experience working with online education or coaching businesses Experience building systems for sales teams Experience documenting automation systems Startup experience Compensation $15USD/hour (contract-based) 100–140 hours per month Contract Structure Month 1 Heavy infrastructure build (up to 150 hours) Months 2–3 Implementation, migration, and system optimization (130–140 hours) Potential transition to ongoing maintenance engagement after initial contract Think you're a good fit?
