The Role: Development Operations Virtual Assistant Imagine being the engine room behind an organization's fundraising strategy. Every grant you research, every prospect you track, and every stewardship note you draft helps turn mission-driven work into funded, sustainable programs. You're not just filing paperwork. You're helping identify which funding opportunities are worth pursuing, keeping leadership prepared and informed ahead of every donor conversation, and making sure no deadline, relationship, or follow-up ever slips through the cracks. From researching new grant prospects to drafting appeal letters and maintaining the donor database, your work directly shapes how well the organization is resourced to do its work. You thrive on structure, are comfortable writing in someone else's voice, and don't wait to be told the next step. Whether you're adapting a grant template for a new funder, prepping a briefing note before a major donor meeting, or building out a fresh SOP for the development team, you bring rigor, initiative, and follow-through to everything you touch. What Your Days Might Look Like: Manage the master grant calendar and prospect pipeline, tracking every deadline, submission, and follow-up to ensure nothing is ever missed Research potential foundation and corporate funding opportunities, evaluating fit, funding history, and likelihood of success Write, adapt, and format grant applications and letters of inquiry using existing templates and successful past submissions Upload and manage applications through online grant portals, keeping all records current and audit-ready Prepare detailed donor and funder profiles, briefing notes, past-giving summaries, and recommended next steps ahead of meetings Draft and personalize stewardship communications, including appeal letters, thank-you notes, and campaign copy, pacing outreach across a donor cadence Maintain the donor database, logging interactions, relationship histories, and outcomes so the record is always current Use AI tools to speed up first drafts of content, research summaries, and message variations, then refine them into polished final copy Collaborate on building development SOPs, workflows, and templates that preserve institutional knowledge as the team grows Present findings and recommendations clearly, and be ready to discuss them during regular check-ins Ask clarifying questions proactively to avoid misunderstandings and keep projects moving forward Adapt to ambiguity and bring structure to processes that are still being defined, especially around seasonal fundraising campaigns Who We Think Will Thrive in This Role: You have 2-4 years of experience in development operations, grant administration, or donor relations You have a proven track record managing a grant calendar, tracking a prospect pipeline, and submitting applications through online grant portals You write with confidence and can draft or adapt letters of inquiry, stewardship notes, and campaign copy in a compelling, on-brand voice You have hands-on experience maintaining a donor database and keeping interaction histories accurate and up to date You can work independently, exercise nuanced judgment, and take initiative with minimal direct supervision You're comfortable using AI tools to accelerate drafting, research, and message variation, without losing your own editorial judgment You have experience (or are eager to build it) preparing briefing notes and talking points ahead of key meetings You are willing to work in a US time zone schedule.
