What You'll Do Own the Monthly Close Own the monthly accounting close from start to finish. Prepare accurate monthly financial statements, including the P&L and balance sheet. Reconcile all material balance sheet accounts and maintain clear supporting schedules. Be able to explain and defend every material balance sheet balance against supporting documentation. Prepare and post month-end journal entries, accruals, prepaids, inventory adjustments, and other necessary accounting entries. Investigate discrepancies and resolve accounting issues proactively. Maintain an organized month-end close process and ensure deadlines are consistently met. Inventory & Import Accounting Own inventory accounting and reconciliation for an import-based e-commerce business. Calculate and maintain landed cost by SKU, including product cost, freight, duties, tariffs, and other directly attributable import costs. Properly account for goods in transit at month-end. Track and reconcile supplier deposits against purchase orders. Reconcile inventory records to the general ledger and investigate inventory variances. Ensure inventory valuation and COGS are accurately reflected in the financial statements. Identify and resolve discrepancies between operational inventory records and accounting records. E-Commerce Accounting Manage accounting in QuickBooks Online. Reconcile Shopify activity and ensure Shopify transactions are accurately reflected in the books. Reconcile payment processors, credit cards, bank accounts, and other financial accounts. Investigate discrepancies between Shopify, payment processors, inventory records, and QuickBooks. Maintain accurate transaction coding and accounting records. US Sales Tax Manage and/or support US multi-state sales tax compliance across approximately 18 states. Reconcile sales tax liabilities to underlying sales activity. Coordinate sales tax calculations, filings, payments, and supporting documentation. Monitor filing deadlines and proactively identify discrepancies or compliance issues. General Accounting & Reporting Maintain complete and accurate accounting records. Prepare supporting schedules and documentation for financial reporting and tax purposes. Identify accounting issues proactively and recommend solutions. Work directly with the business owner and/or CPA when accounting questions arise. Clearly communicate financial information, issues, and recommendations. What We're Looking For Full-Cycle Accounting Experience We are looking for an accountant-level candidate, not primarily a transaction-level bookkeeper. You should have: 4+ years of professional accounting experience. Demonstrated experience independently managing a monthly close. Experience preparing monthly financial statements. Strong experience reconciling and supporting balance sheet accounts. Hands-on experience with journal entries, accruals, prepaids, COGS, and month-end adjustments. Experience working directly with a business owner, controller, CFO, or CPA/accounting firm. Proven ability to investigate accounting issues and resolve them independently. Inventory & E-Commerce Experience — Strongly Preferred Experience accounting for an inventory-based e-commerce business. Hands-on experience with imported inventory. Understanding of landed-cost accounting. Experience accounting for freight, duties, tariffs, and goods in transit. Experience with supplier deposits and purchase orders. Strong Shopify accounting experience. Experience with tools such as Link My Books is a plus. US Accounting & Sales Tax Experience working with US-based businesses. Strong understanding of US accounting principles. Experience with US multi-state sales tax. Experience managing sales tax across multiple states is strongly preferred. Technical Skills You should be highly proficient with: QuickBooks Online Shopify Account reconciliations Balance sheet reconciliations and supporting schedules Month-end close Inventory accounting Journal entries and accruals E-commerce accounting US sales tax processes Communication & Ownership Excellent English communication is required. Is comfortable being held accountable for the accuracy of the financials. Reliability & Dedication This role requires consistent attention during the agreed working hours. We're looking for someone dependable who can stay on top of the monthly close, reconciliations, inventory accounting, sales tax deadlines, and ongoing accounting responsibilities without constant supervision. Qualifications 4+ years of professional accounting experience. Proven experience owning a monthly close. Experience preparing monthly financial statements. Strong balance sheet reconciliation experience. Strong QuickBooks Online experience. Strong Shopify/e-commerce accounting experience. Inventory accounting experience. Experience with imported inventory and landed costs strongly preferred. US accounting experience required. US multi-state sales tax experience strongly preferred. Excellent written and spoken English. Strong analytical and problem-solving skills. Demonstrated ability to work independently. Proven track record of reliability and ownership. Working Hours Philippine Time (PHT), daytime hours. What Success Looks Like In this role, success means: Monthly books are closed accurately and on schedule. Every material balance sheet account has a current reconciliation and supporting schedule. You can clearly explain the balance and activity in each material balance sheet account. Inventory is accurately valued, including landed costs, goods in transit, and supplier deposits. COGS and inventory movements are accurately reflected in the financial statements. Shopify, inventory records, payment processors, and QuickBooks reconcile. US sales tax liabilities are accurate and filings/payments are completed on time. Accounting issues are identified and resolved proactively. The owner and CPA can trust the financial statements without having to rebuild or substantially redo the accounting. The accounting function operates reliably without constant oversight.
