Job Description /Roles: • Team Collaboration: Collaborate with the Intended Parents Team, Surrogacy Team, IVF Team, Egg Donation Team, and Accounting to support intended parents and surrogates throughout their surrogacy journey. • Database Management: Maintain a master database and perform data entry duties to ensure information of intended parents and surrogates is up to date and accurate. • Document Preparation: Prepare administrative documents, including legal referrals, medical match sheets, embryo transfer confirmation forms, and insurance applications. • Customer Service: Provide VIP-level customer service to intended parents, ensuring timely communication and maintaining excellent customer relationships. • Status Updates: Update intended parents on surrogate status through weekly reports or phone calls for emergencies. • Surrogate Journals: Maintain surrogate journals by logging important events to support Accounting in processing surrogate compensations. • Hospital Coordination: Communicate with delivery hospitals, providing supporting documents and assistance to ensure a smooth delivery process for intended parents and surrogates. • Other Duties: Perform any other related duties as assigned to support the overall surrogacy process. Qualifications • Bachelor's degree • Must be fluent in English and Mandarin • Minimum 1 year of experience in Virtual Administration or Medical Service • Communicate effectively both verbally and in writing. • Detail-oriented with excellent time management, organizational, interpersonal, and computer skills • Demonstrate clear, professional boundaries; act in a professional manner. • Proficient in Microsoft Office and Google Spreadsheets • Technical & Work Requirements • Personal laptop (at least Intel i5 or equivalent), noise-canceling headset, and functional camera • Dedicated, quiet workspace suitable for confidential patient communication • Reliable internet connection with a backup plan for power or connectivity disruptions • Comfortable using productivity and work-tracking tools (e.g., ActivTrak) • Availability to work PST hours • Why Join Us? • Mission-driven work helping families around the world. • Supportive team culture and strong opportunities for growth. • Competitive compensation and commission structure. • Chance to be part of an industry-leading, innovative organization.
