About The Role We are seeking a highly organized and proactive Assistant Property Manager to support the day-to-day operations of commercial properties and executive suites. This role is ideal for someone with strong administrative, tenant relations, and property operations experience who thrives in a fast-paced environment and enjoys coordinating multiple moving parts. As an Assistant Property Manager, you will work closely with the Property Manager to support tenant communications, vendor coordination, lease administration, collections follow-up, reporting, and property operations. You will serve as a key point of contact for tenants and vendors while helping ensure that property management processes run efficiently. Key Responsibilities Tenant Relations & Communication Serve as a point of contact for tenant inquiries and requests Draft and distribute tenant and owner correspondence, notices, letters, and memos Maintain and update tenant contact records and account information Assist with move-in and move-out processes, including documentation and walkthrough coordination Obtain, review, and maintain tenant Certificates of Insurance (COIs) Assist with lease renewals and tenant improvement processes Collections & Accounts Receivable Support Generate and review Accounts Receivable reports Follow up with tenants regarding outstanding balances and delinquent accounts Document collection activities and communicate updates to management Assist in preparing information for collections meetings Reporting & Documentation Prepare first drafts of monthly property reports for management review Assist with key metrics reporting, budget comparison reports, and A/R summaries Maintain accurate digital records and property documentation Support preparation of site inspection reports and other operational reports Vendor & Service Coordination Coordinate vendor communications and service requests Draft vendor agreements and service-related documentation Assist with work order tracking and project coordination Set up and maintain utility autopayments and utility tracking records Obtain and maintain vendor documentation, including W-9s and Certificates of Insurance Property Management Systems & Lease Administration Enter and maintain lease information within property management systems Process invoices and support approval workflows Set up and maintain vendor records Generate notices and property correspondence through management software Assist with budget preparation and CAM reconciliation reviews Maintain organized property, tenant, and owner records Administrative Support Answer and direct phone calls professionally Draft emails, letters, forms, and business correspondence Coordinate meetings, calendars, and administrative tasks Participate in owner and management meetings as required Support office procedures and operational improvements Assist with special projects and additional duties as assigned Required Qualifications Previous experience in Property Management, Property Administration, Facilities Coordination, HOA Coordination, or a related field Strong administrative and organizational skills Excellent written and verbal communication skills Professional phone etiquette and customer service abilities Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) Ability to manage multiple priorities and deadlines simultaneously Strong problem-solving and critical-thinking skills Ability to work independently in a remote environment Detail-oriented with strong follow-through and accountability Preferred Qualifications Experience supporting commercial property operations Experience with Yardi Voyager or similar property management software Familiarity with lease administration, tenant correspondence, and vendor coordination Experience preparing monthly reports and budget-related documentation Associate's or Bachelor's Degree preferred Understanding of commercial leases, CAM reconciliations, and property operations is an advantage What We're Looking For The ideal candidate is organized, responsive, and proactive.
