We are seeking a compassionate, highly organized Support & Services Virtual Assistant to provide critical administrative and operational backing to our Client Services team. This multi-faceted remote role is responsible for streamlining client documentation, managing inbox triage and phone inquiries, coordinating travel, and supporting compliance audits. The ideal candidate brings direct administrative experience in the community care or disability sector, possesses exceptional stakeholder communication skills, and thrives in a team environment dedicated to delivering high-quality client care. Key Responsibilities Client Administration & Onboarding: Set up new client profiles, format individualized Support Plans, distribute new referral details, maintain in-home documentation sets, and complete client exit checklists. Funder & Approvals Coordination: Follow up on client approvals, funding authorizations, and Costs of Supports with external case managers, support coordinators, and the finance team. Inbox Triage & Communication: Answer phone calls, manage and triage the team inbox, process feedback, and distribute critical updates to Case Managers and internal departments. Audit & Compliance Support: Assist with internal team audits, Corrective Action Requests (CARs), and track Personal Protective Equipment (PPE) inventory and client service records. Operational & Travel Coordination: Arrange flights and accommodation for the Support & Services team, provide backup coverage for incidental rostering, and occasionally oversee client program administrative workflows. Job RequirementsNon-Negotiable Core Requirements Sector Experience: Minimum 2 years of prior administrative experience within the community care, disability, or aged care sectors . Compliance: Must possess (or be willing to obtain) a Current NDIS Worker Screening Check , as this is a risk-assessed position. Software & Systems: Experience utilizing client management databases (experience with systems like Visual Care is advantageous) alongside Microsoft Office Suite. Detail-Oriented & Organized: Exceptional accuracy in record-keeping, compliance documentation, and managing competing administrative deadlines.
