Job Description

TWS is seeking an experienced, highly organized Business Operations & Data Analyst to support operational, financial, project, and reporting functions. This is a hands-on role responsible for maintaining critical business information across project estimating, job costing, revenue and expense tracking, cash flow, invoicing, inventory, rentals and billing, labor and logistics, CRM data, proposal tracking, compliance documentation, KPI reporting, and management reporting. This is not an entry-level position. Microsoft Excel is a critical tool for this position. Advanced programming or VBA expertise is not required, but candidates must have strong practical Excel skills and previous experience using spreadsheets to manage real business operations and financial information. Key Responsibilities Financial, Project & Operational Tracking Prepare and maintain project estimates using established Excel estimating templates and company pricing structures. Manage ServiceMinder/OnRent to create estimates and invoices and keep operational information accurate and current. Track projects from estimate/proposal through execution, billing, and completion. Maintain project estimates, job costs, cost updates, revenue, and profitability information. Analyze revenue, costs, gross profit, and project margins and prepare dashboards, reports, presentations, and management summaries. Compare estimated versus actual project costs and identify significant variances. Identify unusual cost changes, missing expenses, billing discrepancies, margin deterioration, and other items requiring investigation. Maintain historical project cost and pricing information to improve future estimating accuracy. Maintain and improve tracking spreadsheets for projects, invoices and accounts receivable, expenses and project costs, revenue, cash flow, inventory, Rentals & Billing (R&B), Labor & Logistics (L&L), job costs, and project profitability. Reconcile information across operational and financial trackers and identify inconsistencies. Inventory, Invoicing, Compliance & Business Support Maintain accurate inventory records and track inventory movement, availability, utilization, discrepancies, reporting, and future requirements based on project activity and historical usage. Manage invoicing, billing, accounts receivable tracking, reconciliations, and follow-up on discrepancies or overdue items. Arrange and track COIs, renewals, compliance documentation, deadlines, and maintain organized, auditable records. Maintain clear and searchable project, customer, job-site, proposal, invoice, and business file structures. Analyze HubSpot data, identify trends and discrepancies, and prepare actionable reports for leadership. Create marketing materials and presentations and support customer review and follow-up initiatives. Build and maintain recurring checklists, trackers, SOPs, and reporting routines to improve operational consistency. Identify process inefficiencies and proactively flag operational, financial, billing, inventory, compliance, or data issues before they become larger problems. Use technology and AI tools where appropriate to improve accuracy, efficiency, and reporting, including data organization, project estimating, spreadsheet analysis, reporting, documentation, and process improvement. Required Qualifications Bachelor’s degree in Finance, Accounting, Business Administration, Operations Management, Project Management, Marketing, or a related field. Minimum 4–5 years of relevant experience in operations, project administration, financial administration, virtual office management, executive support, or a comparable role supporting a U.S.-based business. Strong hands-on Microsoft Excel skills, including multi-sheet trackers, PivotTables, dashboards, XLOOKUP/INDEX-MATCH, SUMIFS, conditional formatting, data validation, reconciliation, and error checking. Experience tracking invoices, expenses, job costs, budgets, revenue, cash flow, and/or profitability. Strong CRM experience; HubSpot preferred . Strong project tracking, follow-up, organization, and deadline-management skills. Proficiency with Canva, PowerPoint/Google Slides, Google Workspace, and Microsoft Office. Excellent written English, professional communication, judgment, and attention to detail. Ability to work independently, identify issues proactively, and operate with minimal supervision. Excel & Data Skills The successful candidate should be able to independently: Create and maintain multi-sheet business trackers. Clean and organize large datasets. Build and maintain PivotTables. Use XLOOKUP, INDEX-MATCH, SUMIFS, COUNTIFS, IF/IFERROR, text/date functions, and similar formulas. Link and reconcile information across worksheets. Use conditional formatting and data validation effectively. Identify broken formulas, duplicate records, missing information, and data inconsistencies. Build clear management dashboards and summaries. Analyze financial and operational information rather than simply entering data. Maintain existing Excel templates without compromising formulas or structure. Turn raw business data into useful management information. Schedule & Engagement Remote independent contractor. Part-time preferred initially, with potential to become full-time. Must work consistent U.S. business hours aligned with Central Time. Compensation based on experience, qualifications, and demonstrated technical ability.
