Head of AI, Automation & Business Systems Remote (Philippines Preferred) | Full-Time About Gavil Group Gavil Group is a third-generation UK property investment, development and asset management company with a property portfolio of approximately £90 million across residential, education, student accommodation and commercial real estate. We are building one of the most AI-enabled property businesses in the UK. We’re looking for an exceptional individual to work directly with our Managing Director to design, build and continually improve the systems that will power the next stage of our growth. This is not an IT support role. It is not a virtual assistant role. It is not simply a prompt engineering role. Every department should become more efficient. We want AI embedded into the DNA of our business. ⸻ Your Role You will become responsible for improving how our entire company operates. Your job is to continually identify opportunities where technology, AI and automation can improve efficiency, decision-making and collaboration across the business. You’ll work directly with senior management and every department within the company. ⸻ You’ll Be Responsible For AI Strategy & Implementation \ Design and implement our company-wide AI strategy. \ Evaluate and introduce the best AI tools and technologies. \ Build AI assistants for different departments. \ Continuously improve AI adoption across the business. Automation Design workflows that automate repetitive work across: \ Acquisitions \ Asset Management \ Finance \ Lettings \ Maintenance \ Marketing \ HR \ Administration \ Business Development \ Executive Management Wherever possible, manual processes should become automated. Knowledge Management Build a structured, searchable knowledge base containing: \ Property portfolio information \ Investment appraisals \ Financial models \ Investor requirements \ Operator databases \ Local authority relationships \ Comparable transactions \ Legal documentation \ Standard operating procedures \ Internal policies \ Company strategy \ Historic decisions \ Market research Nothing important should ever be lost or difficult to find. Meeting Intelligence Implement systems that automatically: \ Record meetings. \ Produce transcripts. \ Generate meeting summaries. \ Capture action points. \ Allocate tasks. \ Track outstanding actions. \ Store all meetings in a searchable knowledge database. KPI & Performance Systems Design systems that allow management to monitor: \ Department KPIs \ Team performance \ Business objectives \ Project progress \ Deal pipelines \ Sales activity \ Operational efficiency Create automated dashboards and management reports. Business Intelligence Develop reporting systems that provide real-time visibility across every area of the business. Help management make faster and better-informed decisions using data and AI. Continuous Improvement Your mindset should always be: \ Can this be automated? \ Can this process be simplified? \ Can AI improve this? \ Can we save time? \ Can we make better decisions? We expect you to continually challenge existing ways of working and implement better solutions. ⸻ Skills We’re Looking For Experience with many of the following is highly desirable: \ ChatGPT \ Claude \ Gemini \ OpenAI \ Microsoft Copilot \ n8n \ Make \ Zapier \ APIs & integrations \ HubSpot or CRM systems \ Notion or Confluence \ Google Workspace \ Microsoft 365 \ AI meeting assistants \ Knowledge management systems \ Dashboard creation \ Workflow automation \ Process mapping \ Documentation \ Business intelligence Programming experience (Python, JavaScript or SQL) is advantageous but not essential.
