Job Title: Recruiting Coordinator Commitment: Full-Time Schedule Monday to Friday, U.S. Business Hours Rate: $5 - $6/hour Overview: Our client is a leading Revenue Operating System for senior living communities. They build AI-powered technology for assisted living and skilled nursing operators, providing a single connected platform to run their entire revenue operation—from admissions, private payments, Medicare and Medicaid claims, to working capital. Everything between a resident moving in and the cash hitting the bank. Senior living operators got into this business to care for people, but fragmented systems, manual follow-up, and endless admin work pull them in the wrong direction. Our client replaces manual revenue work with intelligent automation so operators can focus on what matters most: care. Company Impact: $1B+ in payments processed annually Operators across 45 states 40,000+ family interactions supported every year 99%+ net collection rates 95%+ on-time payments 40+ hours reclaimed per community per month 96%+ first-pass claims acceptance Role Scope: We are seeking a highly organized, detail-oriented Recruiting Coordinator to own the mechanics of the hiring funnel so hiring managers can focus exclusively on judgment calls. In this role, you will streamline the candidate lifecycle, optimize talent workflows, and deliver a seamless hiring experience across all stages. Key Responsibilities 1. Interview Scheduling & Calendar Management Schedule and confirm all interview stages, including screener calls, panel rounds, closing calls, and everything in-between. Proactively manage calendar conflicts, reschedules, and time zones without escalating. Prepare and distribute comprehensive interview briefs to interviewers prior to each call. 2. Feedback SLA & Decision Tracking Chase interviewer feedback within an agreed SLA to ensure no candidate sits unscored. Package candidate feedback for go/no-go review and drive each candidate to a logged decision. Maintain and keep the Applicant Tracking System (ATS) current so pipeline status is accurate at any given moment. 3. Tactical Candidate Communication Handle tactical candidate communications, including interview confirmations, logistics, prep materials, status updates, and rejections. Maintain clear, low-friction written communication to deliver a professional candidate experience. Escalate complex matters requiring a hiring manager's voice while independently resolving all routine inquiries. 4. Application Processing & Pipeline Optimization Move incoming applications through intake and initial screening against defined criteria. Rapidly flag strong candidates for review while batch-processing remaining applications. Monitor funnel throughput to surface and resolve bottlenecks in the hiring pipeline. Success Metrics Speed: Interviews scheduled within 24 hours of a request. Accountability: Feedback collected and decisions logged within 48 hours of an interview. Candidate Experience: Zero candidates waiting on feedback without an active status update. Efficiency: Application review keeps pace with inflow rather than creating pipeline bottlenecks. Skills and Qualifications: Experience: Prior coordination experience in recruiting, operations, or executive support. Experience working with U.S. venture-backed technology startups is preferred. Time Zone Alignment: Consistent availability to overlap with standard U.S. business hours. Systems & Tools: Hands-on experience with an Applicant Tracking System (ATS)—ideally Greenhouse. Communication & Calendar Ownership: Exceptional written communication skills for external candidate interactions, alongside strong confidence owning calendars and managing complex schedules. Technical Knowledge (Preferred): Conversational knowledge of engineering concepts (e.g., familiar with common programming languages, basic understanding of APIs and databases). Talent Familiarity (Preferred): Familiarity with the North American engineering talent landscape (e.g., top universities, leading tech companies).
