Job Description Administrative Manager Position Overview The Administrative Manager is responsible for planning, organizing, directing, and controlling the administrative operations of NephroLife Dialysis and Diagnostic Center (or Arayat Dialysis Center). The role ensures efficient office administration, regulatory compliance, facility management, personnel coordination, patient support services, vendor management, and continuous operational improvement while maintaining the highest standards of patient care and organizational excellence. Key Responsibilities 1. Administrative Operations: Manage office operations, including scheduling, supplies procurement, and maintenance of equipment and facilities. Develop and implement administrative policies and procedures to ensure efficiency. Monitor operational efficiency. Manage office assets and equipment. Ensure preventive maintenance of the facilities. Oversee document management and record retention. Monitor inventory of office and medical support supplies. Coordinate logistics for meetings, trainings, and company events. Supervise housekeeping, security, utilities, and maintenance services. 2. Staff Management: Supervise and support administrative staff, ensuring proper training and performance evaluations. Facilitate communication between departments to promote teamwork and resolve issues. Assist (if needed) the HR in hiring interviews for administrative personnel. Recommend to the HR promotions and disciplinary actions. Approve leave requests. In collaboration with the HR, prepare performance evaluations. In collaboration with the HR, develop training plans. Coach and mentor staff. Ensure compliance with company policies. 3. Patient Services: Oversee patient registration, scheduling, and records management. Ensure excellent customer service and address patient concerns promptly. Monitor patient satisfaction. Resolve escalated complaints. Ensure confidentiality of patient information. Ensure compliance with the “Data Privacy Act”. Coordinate with dialysis nurses, nephrologists, billing, and Philhealth personnel. Improve patient experience initiatives. 4. Financial Management: Monitor budgets, track expenses, and assist in financial planning. Coordinate with the accounting department for payroll, billing, and reimbursements. Prepare annual administrative budgets. Monitor operational costs. Approve administrative purchases within authority. Review supplier quotations. Monitor cost-saving initiatives. Coordinate procurement activities. Ensure proper liquidation of administrative expenses. 5. Compliance and Reporting: Ensure adherence to and compliance with DOH, PhilHealth, BFP, DOLE, etc. Coordinating regulatory inspection, maintaining licenses and permits. Prepare and submit reports to management and regulatory bodies as needed. 6. Vendor and Partner Coordination: Manage relationships with suppliers, service providers, and contractors. Coordinate with nephrologists and other healthcare professionals for seamless patient care. Evaluate supplier’s performance. Negotiate contacts. Ensure timely procurement. Monitor service agreements. Coordinate equipment maintenance providers. Ensure uninterrupted supply of administrative resources. Key Attributes Detail-oriented and proactive.
