Position Summary We are seeking a highly capable and proactive Accounting & Executive Assistant to support an experienced entrepreneur with the financial cleanup, consolidation, and administration of several related companies. The immediate priority is to organize receipts, bring approximately 5.5 years of accounting records up to date, assist with consolidating multiple companies, and establish a reliable single set of books. Once the accounting cleanup is complete, the role will transition into a broader part-time Executive Assistant position supporting business research, administration, technology, and new business opportunities. This role is ideal for someone who combines strong accounting knowledge with exceptional organization, sound judgment, fast processing skills, and a willingness to take ownership of varied tasks. Key Responsibilities Accounting and Financial Administration Organize, process, and accurately categorize receipts and supporting documents. Bring historical bookkeeping records up to date and resolve missing or incomplete information. Assist with cleaning up and consolidating multiple related companies. Help establish and maintain an accurate, streamlined set of books. Reconcile bank accounts, credit cards, and other balance-sheet accounts. Review historical transactions and identify discrepancies or areas requiring clarification. Maintain organized, complete, and audit-ready financial documentation. Coordinate with external accountants and tax professionals as required. Support the preparation of financial information related to previous company sales, earn-out proceeds, and arbitration payments. Assist tax professionals in preserving and properly documenting available corporate tax losses. Evaluate current accounting processes and recommend more efficient systems or applications. Maintain ongoing bookkeeping after the initial financial cleanup is completed. Executive and Administrative Support Manage priorities, follow-ups, documents, correspondence, and administrative tasks. Conduct research related to potential businesses, investments, vendors, systems, and new opportunities. Prepare summaries, reports, spreadsheets, and presentations. Track action items and ensure tasks are completed accurately and on time. Organize digital files and establish practical document-management systems. Assist with scheduling, reminders, email organization, and other executive support needs. Communicate with accountants, advisors, vendors, and other external parties. Anticipate needs, identify gaps, and proactively recommend solutions. Provide flexible support across accounting, operations, technology, and business administration. Systems and Technology Support Work confidently with Xero and related applications such as Hubdoc and Dext. Use Google Workspace effectively, including Gmail, Drive, Docs, Sheets, and Calendar. Support basic IT troubleshooting and the organization of cloud-based systems. Assist with QuickBooks, Shopify, social media platforms, and other business applications when needed. Research and implement tools that improve efficiency, organization, and reporting. Qualifications Required Strong bookkeeping or accounting knowledge. Experience reconciling accounts, organizing financial records, and processing receipts and transactions. Experience using Xero, QuickBooks, or a comparable cloud-accounting platform. Advanced organizational and information-processing abilities. Strong analytical reasoning and problem-solving skills. Ability to work independently, manage competing priorities, and produce results with limited supervision. Excellent attention to detail and a high degree of accuracy. Strong written and verbal communication skills. Positive, dependable, resourceful, and action-oriented approach. Ability to handle sensitive financial and business information with complete confidentiality. Preferred Experience supporting an entrepreneur, owner, or senior executive. Experience cleaning up historical books or consolidating multiple companies. Familiarity with Canadian corporate accounting and tax documentation. Experience with Xero, Hubdoc, Dext, QuickBooks, Shopify, and Google Workspace. Comfortable using social media and handling basic IT or technology-related tasks. Experience coordinating with accountants, tax professionals, lawyers, or financial advisors. Ability to research and assess new business opportunities. Role Structure Part-time position with the potential for additional hours as executive-support needs increase. Initial focus: historical accounting cleanup, receipt processing, and company consolidation. Ongoing focus: bookkeeping, executive assistance, business research, administration, and systems support.
