Executive Assistant to COO Type: Full-Shift, Independent Contractor, Weekdays, 100% Remote About The Role The role exists to turn commitments and ideas into action and drive them to completion. At a CRO’s velocity, the constraint isn’t vision or drive. It’s execution leverage. You are that leverage: the engine that keeps every initiative moving, shipping, and held across teams. If you’re accountable, precise, disciplined, keep reading. WHAT YOU’LL DO Momentum & Accountability (the core) Turn every decision into an owner and a deadline. Chase it to done across the org. Run a weekly “what’s slipping” report. Escalate only when stuck. Keep cross-functional threads alive so nothing stalls. Deal & Pipeline Support Prep deal reviews and the CRO’s own deals. Build deal sheets for inspection. Follow up on deal calls. Book next steps on the calendar. Handle reschedules. Manage the CRO’s pipeline and Salesforce opportunities: hygiene, stage, next steps. Surface deal signals and risk from Slack, email, CRM, and Gong. Track legal reviews and contracts in flight so nothing dies in a queue. Performance Intelligence & Briefings Daily and end-of-day recaps, per Account Executive: what progressed, what’s at risk. Aggregate and summarize from the data they have access to. Weekly metric snapshots, pilot health, and support-theme roll-ups. The goal: the details the CRO needs to decide, act, and keep moving. Meeting Execution & Prep Build prep docs for forecast calls, 1:1s, reviews, leadership syncs, and pilot meetings. Join internal, deal, and customer calls. Capture decisions, distribute, track. Sales Enablement & Asset Production Turn voice notes, calls, and whiteboards into training, playbooks, and content. Build the cases, decks, and one-pagers that would otherwise sit on the CRO’s plate. Inbox, Calendar & Gatekeeping Triage inbox daily. Draft routine replies. Protect deep-work time. Gatekeep low-ROI meetings. Run invite lists, logistics, and scheduling. Documentation & Systems Own the system of record for decisions, actions, and status. Build the tracker the team actually uses. Operating Model & Leverage Document each part of the CRO’s operating model: cadences, workflows, decisions,handoffs. Find where structure, data, automation, and AI add leverage, so every hour ismaximized. WHAT THIS ROLE IS NOT Not the RevOps or analytics function. You summarize and brief from existing tools,dashboards, and AI. RevOps owns the data infrastructure. Not a deal decision-maker. You surface and route. The CRO and AEs decide. Not an enforcer over leadership. You chase and escalate, never override. WHO YOU ARE Must-Haves 3+ years as an EA, Chief of Staff, or Ops Coordinator to a senior exec, ideally in tech. Obsessive follow-through. You close loops without reminders. Comfortable chasing senior people firmly, and unbothered nudging three times. AI-fluent by default: Gemini - for drafting, assets, and summaries. Fluent in Google Workspace, Slack, and Salesforce, and decent in Google Sheets. Excellent written English. Total discretion. Familiarity with the sales stack (Gong, PandaDoc, dialers) and outbound. B2B SaaS or high-growth startup experience.
