We’re moving toward productized service packages, cleaner systems, and higher-margin delivery. The Role We’re hiring a Senior Project Manager who can run the day-to-day delivery engine: keep projects on track, teams aligned, clients informed, and margins protected. You’ll operate at the intersection of creative and operations — translating strategy into timelines, turning deliverables into clear tasks, and making sure we hit deadlines without bleeding hours. This role is ideal for someone who can bring calm structure to a fast-moving agency, communicate with authority, and treat profitability like a deliverable. What you’ll own: Delivery & Workflow Run multiple client projects end-to-end: kickoff → production → launch → reporting. Build and maintain clear scopes, timelines, dependencies, and approvals in ClickUp. Keep internal tasks tight: who’s doing what, by when, and what “done” means. Identify bottlenecks early and make fast, practical adjustments to keep momentum. Track hours, effort, and burn vs. scope so projects stay profitable. Flag scope creep immediately and route it into a decision: trade-offs, change request, or re-scope. Coordinate resourcing across the internal team + contractors, so work doesn’t stall. Maintain a professional cadence: weekly status updates, approvals, and risk flags. Improve SOPs, templates, and recurring workflows so we can scale without chaos. Help standardize delivery for fixed packages (less custom work, more repeatability). Collaborate with leadership on operational KPIs (on-time delivery, effective hourly rate, margin, client satisfaction). What Success Looks Like Every active client has a clean ClickUp plan with scopes, milestones, owners, and deadlines. Fewer “where are we at?” moments — clients and team always know next steps. Projects ship on time more consistently, with fewer last-minute scrambles. Scope creep gets caught early and handled professionally. Leadership has visibility into profitability and delivery risks before they become problems. You’re a Fit If You… Have 5+ years PM experience in a marketing/creative/tech agency environment. Are confident running meetings, managing stakeholders, and pushing projects forward. Have proven experience as a Scrum Master or leading agile teams. Think in priorities and trade-offs — not perfection. Care about margins, efficiency, and making delivery predictable. Are highly organized, direct, and calm under deadlines. Learn tools quickly (ClickUp, Google Workspace; Figma & HighLevel experience is a plus). Nice-to-Haves Experience with video production workflows, web builds (Webflow), and paid media deliverables. Familiarity with packaging services, retainer operations, or EOS-style accountability. Understanding of billing cycles, change orders, and project financial tracking.
