Virtual Assistant – Rental Transaction Coordinator (Remote) Job Type: Full-Time Location: Remote (Work From Home) Schedule Monday–Friday, 9:00 AM – 6:00 PM EST About The Role We are seeking a highly organized and detail-oriented Virtual Assistant – Rental Transaction Coordinator to support our growing real estate team. This position is responsible for coordinating rental transactions, managing MLS listings, maintaining compliance documentation, and ensuring a smooth process from application through lease execution and move-in. The ideal candidate has experience with MLS systems, real estate administration, transaction coordination, and managing multiple deadlines in a fast-paced environment. Responsibilities Rental Transaction Coordination Manage rental transactions from application through lease execution and move-in Draft leases and rental-related documents Monitor transaction timelines, deadlines, and milestones Track required documents and signatures Identify and escalate missing documents or transaction delays Ensure transactions follow established workflows and timelines Listing Management Enter and maintain rental listings in MLS systems Verify property information for accuracy Create compliant listing descriptions and broker remarks Process listing updates, status changes, and price adjustments Ensure MLS and brokerage compliance requirements are met Document \& Compliance Management Organize and maintain transaction files Prepare documents for electronic signatures Track completion of required forms and disclosures Maintain accurate, audit-ready transaction records Verify document accuracy and completeness Administrative Support Update transaction records and internal databases Follow SOPs, workflows, and checklists Maintain organized transaction management systems Prepare templates, forms, and transaction communications Communication \& Team Support Communicate professionally with agents, vendors, and team members Provide transaction updates and coordinate tasks Follow up on outstanding items to meet deadlines Maintain clear and timely communication Qualifications Required MLS experience Strong organizational and time-management skills Excellent attention to detail Strong written communication skills Ability to manage multiple transactions simultaneously Proficiency with technology and online systems Ability to work independently Preferred New Jersey MLS experience Experience in real estate transaction coordination Experience in leasing, listing management, or real estate administration Software \& Platforms Open To Close Dotloop SkySlope Slack Follow Up Boss MLS Systems Why Join Us?
