About The Company We make performance running sunglasses people actually want to be seen in. Real community brand. We're hiring our second VA to take on the brand and community operations work that currently doesn't have an owner. Role Overview You'll own the brand and community operations engine. The work that compounds — building athlete relationships, surfacing customer insights, fuelling our content machine, and keeping our community engaged. This is a VA role with real ownership and visibility. You'll work alongside our existing VA (who owns customer service and order operations) and report into our Ops Lead, with direct access to the founder for brand and strategic decisions. Key Responsibilities (What you'll own) 1\. Community \& engagement (5 hrs/week) Daily community engagement on Instagram and TikTok: DMs, comments, replies, post-race shoutouts Monitoring and responding to brand mentions across social media in the company's voice Reviews monitoring and response across Shopify, Google, and other platforms Building real connections with the company's community in their feeds 2\. Content engine (4 hrs/week) UGC pipeline: download, file, tag, and organise user-generated content into the company's content library Content asset library maintenance — searchable, tagged, accessible for the team Weekly content performance reporting: organic Instagram and TikTok metrics, top performers, trends, posting time analysis Building the historical content performance database 3\. Race \& athlete operations (2 hrs/week) Race calendar maintenance: upcoming marathons and key events, company's athletes participating Athlete CRM: tracking gifted athletes, race performances, content created, brand champions Post-race coordination: timing community shoutouts, sourcing content from runners Athlete database build-out: contact info, location, race history, audience size 4\. Influencer \& athlete outreach (2 hrs/week) Source potential athletes and influencers across Instagram and Strava using clear criteria Build the outreach database (handle, location, race history, audience, engagement rate) Initial outreach (using founder-approved templates) to qualified leads Hand qualified responses to the gifting pipeline 5\. Athlete affiliate program operations (2 hrs/week) Onboard new affiliate athletes: set up unique discount codes in Shopify Admin, prepare welcome pack (brand guidelines, assets, code), coordinate first kit send-out via gifting flow (1 hr per new athlete onboarding) Weekly performance tracking: code usage, sales generated, top performers Monthly affiliate report to founder: revenue, commission, ROI per athlete, recommendations Payouts admin: calculate commissions, prepare payout summaries, maintain records Note: Athlete relationships and communications are owned by the founder. You handle the operational mechanics so the founder can focus on the relationship. 6\. Customer \& product insights (2 hrs/week) Voice of customer reporting from reviews and social media (separate from customer service tickets) Returns analysis: tracking patterns by SKU, reason, customer type Monthly insight summary for the founder: what customers are saying, what's working, what's breaking 7\. Backup coverage (3 hrs/week) Backup customer service when our primary VA is offline (holidays, sick days, peak overflow) US operations support as we launch into Texas (scaling up over time) Ad-hoc admin What you won't own Customer service as primary owner (handled by Mickie, our existing VA) Order management, returns processing, fulfilment coordination (Mickie) Shipping and dispatch tracking for influencer gifts (Mickie ships; you handle the influencer relationship from delivery onwards) Social media posting and content creation (handled by founder and team) Paid ads, email marketing, website conversion (handled by our marketing lead) Strategic decisions and creative direction (founder) Who you are: 3\+ years experience as a virtual assistant, ecommerce assistant, or community manager Strong written English with on-brand instincts — you can write a friendly, on-brand DM or comment without supervision Detail-oriented — UGC tagging, athlete database, reviews tracking all require accuracy Comfortable with social platforms (Instagram, TikTok) as both a user and an operator Experience with Shopify, Meta Business Suite, Google Drive, Trello (or fast learner) What you get: Real ownership of meaningful work, with visibility to the founder A growing brand with a strong community and clear trajectory The chance to help build the brand operations backbone of the company Working schedule: 7 days/week, 20 hrs/week. Mon-Thu: PH 3pm-6pm (UK 8am-11am) — 3 hrs daily Fri: PH 3pm-5pm (UK 8am-10am) — 2 hrs (lighter day) Sat: PH 4pm-7pm (UK 9am-12pm) — 3 hrs (parkrun coverage) Sun: PH 5pm-8pm (UK 10am-1pm) — 3 hrs (marathon coverage) Technical Requirements: Equipment is self-provided Computer: RAM: 8GB HDDISDD: 512 GB PU/Processor: Intel Core i5 or AMD Ryzen 5 (12th generation or newest) Operating System: Windows 11 Home or Pro Power Backup: Power station, Powerbank, UPS, and etc. Extra Display: Secondary/External Monitor Audio \& Video: Noise-Cancelling Headset \+ Web Cam Internet Speed: 40-50 Mbps minimum bandwidth speed for both Download and Uploads.
