Position Summary: The Preboarding Specialist is responsible for independently managing the candidate experience from offer acceptance through onboarding. This role ensures completion of pre-employment requirements, compliance documentation, and accurate candidate data handling, while maintaining clear communication with candidates, recruiters, and internal HR teams. The ideal candidate has strong attention to detail, solid communication skills, and experience in HR operations or recruiting support. Key Responsibilities Manage the end-to-end preboarding process for new hires, ensuring completion of required documentation and compliance tasks Coordinate with recruiters, HR teams, and stakeholders to provide updates on candidate status Review and validate candidate information for accuracy, including role details, compensation, and employment history Verify qualifications such as licenses, certifications, education, and eligibility requirements prior to formal processing Support candidates with scheduling onboarding-related appointments and ensure timely follow-ups and reminders Provide clear and professional guidance to candidates to ensure a smooth onboarding experience Prepare onboarding documents such as offer letters, agreements, and required employment forms Ensure compliance with internal policies and applicable regulatory standards Complete onboarding actions in internal tracking systems once requirements are satisfied Maintain accurate employee records in document and HR systems Update certification and license information, including expiry tracking for compliance purposes Collaborate with HR, hiring managers, and employees to ensure readiness for day-one onboarding Handle candidate inquiries and escalations professionally and discreetly Support customer service or HR support functions as needed Perform regular audits of candidate records to ensure data accuracy and compliance Maintain strict confidentiality of all candidate and employee information Participate in process improvement initiatives within the HR and Talent Acquisition team Required Skills and Qualifications: 4 to 5 years experience in HR operations, recruiting, or talent acquisition support Understanding of recruitment lifecycle, preboarding, and onboarding processes Experience using applicant tracking or HR management systems Familiarity with HR processes, documentation, and compliance standards Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) Strong written and verbal communication skills High attention to detail and ability to manage multiple priorities Ability to handle sensitive information with confidentiality and professionalism Strong customer service mindset and collaborative working style Preferred Qualifications Experience in regulated or compliance-driven industries Multilingual capability is an advantage Prior experience handling onboarding documentation and HR data validation Job Type: Full-time Pay: Php40,000\.00 - Php50,000\.00 per month Benefits Work from home Application Question(s): What Applicant Tracking System (ATS) or HR systems have you used (e.g., Taleo or similar), and what tasks did you perform using these tools?
