Property Management Coordinator Location: Remote (Philippines) Schedule Full-Time | Dedicated overlap with US Central Time business hours Compensation USD $1,200-$1,600/month DOE About The Company Our client operates two closely connected businesses serving residential property owners and real estate investors throughout the United States. One business specializes in residential property management, overseeing the operational lifecycle of rental properties, while the other focuses on real estate investment services and financing solutions. Although each business serves a different purpose, both operate collaboratively and share operational resources, requiring exceptional organization, communication, and attention to detail. The company is process-driven, technology-enabled, and committed to delivering an exceptional experience for both property owners and tenants. As the business continues to grow, they are seeking a highly organized Property Management Coordinator to become the operational backbone of the property management team. Role Overview This role is designed for someone who genuinely enjoys structure, consistency, and following established processes with precision. You will coordinate the daily administrative operations of a growing residential property portfolio, ensuring that maintenance requests, tenant communications, lease administration, vendor coordination, inspections, documentation, and compliance tasks are completed accurately and on time. Success comes from maintaining accuracy across repetitive operational workflows, prioritizing tasks effectively, and ensuring that nothing falls through the cracks. Key Responsibilities Property Operations Coordination Coordinate maintenance requests from initiation through completion Assign work orders to vendors and monitor completion timelines Track open maintenance issues until fully resolved Schedule property inspections, move-ins, move-outs, and vendor appointments Coordinate repair estimates and follow-up communications Maintain accurate maintenance and property records Tenant & Owner Support Respond professionally to tenant and owner inquiries Escalate issues appropriately when necessary Monitor service requests and ensure timely communication Assist with lease administration and documentation Maintain excellent customer service while following company procedures Property Administration Maintain accurate records across property management software Upload and organize leases, inspection reports, invoices, and documentation Update property information and tenant records Assist with compliance tracking and document management Support rent collection follow-up processes where required Process & Workflow Management Follow documented Standard Operating Procedures (SOPs) precisely Ensure operational checklists are completed accurately Maintain task tracking systems and internal workflows Identify missing information before it becomes a problem Escalate exceptions while keeping routine work moving efficiently Reporting & Coordination Prepare operational reports as requested Track outstanding maintenance, inspections, and follow-up items Communicate daily priorities with the Property Manager Ensure deadlines are consistently met across multiple concurrent properties Hard Skills Must Have 2+ years of property management coordination or property administration experience Experience supporting US residential property management operations Strong administrative and organizational skills Excellent written and verbal English communication High attention to detail Experience coordinating multiple priorities simultaneously Comfortable working within structured processes and SOPs Strong Microsoft Office and Google Workspace proficiency Ability to work full-time with US Central Time overlap Preferred (very Nice To Have) Experience using Buildium Experience with AppFolio, Propertyware, Rent Manager, Yardi, or similar PMS platforms Experience coordinating maintenance vendors Experience supporting residential leasing processes Experience working remotely for US companies Soft Skills We're Looking For Someone Who Is Extremely detail-oriented Highly process-driven Organized and methodical Calm under pressure Able to prioritize effectively Reliable and consistent Comfortable performing repetitive operational tasks with accuracy Self-motivated while following established workflows Accountable for deadlines and task completion About The Candidate The ideal candidate enjoys creating order from complexity.
