Part-Time | 20 hours per week | 4hrs a day | CST About The Role We’re looking for a highly organized, proactive, and execution-driven Chief of Staff to become the CEO’s operational partner. This is not a traditional Executive Assistant role. Your primary responsibility is to turn ideas into execution by managing projects, coordinating teams, removing bottlenecks, and ensuring initiatives are completed on time. You’ll work across ecommerce, operations, marketing, product development, and logistics, allowing the CEO to focus on strategy and business growth. Key Responsibilities Project & Operations Management Turn CEO ideas into actionable project plans. Break projects into tasks, assign owners, and track progress. Keep projects moving through proactive follow-ups and accountability. Identify risks, remove blockers, and ensure deadlines are met. Build and improve SOPs, workflows, and internal systems. Cross-Functional Coordination Coordinate projects across: Ecommerce (Shopify) Amazon Email Marketing Product Development Manufacturing 3PL & Fulfillment Creative & Video Team Website & CRO Contractors and external partners CEO Support Manage priorities, approvals, and executive follow-ups. Gather information before meetings and organize action items. Reduce context switching and protect the CEO’s focus time. Ensure decisions are communicated and executed promptly. Operations & Reporting Build reports, dashboards, and Google Sheets. Maintain project documentation and SOPs. Support Shopify product setup and operational tasks when needed. Monitor KPIs and conduct post-project reviews to improve future execution. Requirements Non-Negotiables 3+ years of experience as a Chief of Staff, Operations Manager, Project Manager, or similar execution-focused role. Experience supporting an Ecommerce Founder or CEO. Experience background in Shopify Proven experience managing cross-functional projects from planning through execution. Strong project management experience using ClickUp, Asana, Monday.com, or similar platforms. Excellent written and verbal English communication. Highly organized with exceptional follow-through and accountability. Advanced Google Workspace skills, especially Google Sheets. AI-fluent and comfortable using ChatGPT or similar AI tools daily. Preferred Experience Shopify Amazon Seller Central Klaviyo Ecommerce operations Product launches Manufacturing Third-Party Logistics (3PL) SOP creation Ecommerce analytics Conversion Rate Optimization (CRO) Success Metrics Projects are delivered on time with minimal CEO involvement. Teams stay aligned and accountable. Communication between departments is proactive and efficient. SOPs and documentation remain organized and up to date. KPIs and post-project reviews drive continuous improvement. The CEO spends significantly more time focused on growth and strategy instead of daily operations. Schedule Part-Time (20 hours/week) with approximately 4 hours of overlap during U.S. Central Time , Monday to Friday. Growth Opportunity: This role has a clear path to becoming a Full-Time Chief of Staff or Operations Manager as the business continues to scale. Job Offer: ₱32,000 per month during the probationary period. Up to ₱36,000 per month upon successful completion of the 6-month probationary period, subject to satisfactory performance and positive feedback, plus applicable benefits and bonuses. Up to ₱40,000 per month upon completing 24 months with the Company, subject to continued satisfactory performance, positive feedback, and achievement of agreed-upon scorecard metrics.
