About The Church Online The Church Online provides technology, digital media, SaaS platforms, and related services to churches and ministry organizations. As our organization continues to grow, we are expanding our use of the Zoho One ecosystem to create a more unified operational platform across sales, customer service, project management, finance, communications, and internal business processes. We are seeking an experienced Zoho / Zoho One Solution Architect & Administrator who can evaluate our current environment, help establish the proper architecture, and lead the implementation and optimization of Zoho across the organization. Engagement Overview This is not simply a Zoho administration position. We are looking for someone who understands how to architect a complete business solution using Zoho One—including how individual Zoho applications should interact, where automation should occur, how information should move through the organization, and when custom development or external integrations are appropriate. The right consultant should be capable of looking at a business process from beginning to end and determining how Zoho should support that process. The engagement will include both strategic architecture and hands-on implementation. Scope of Engagement The consultant will work with The Church Online to evaluate, design, configure, document, and improve our Zoho environment. Responsibilities may include: Review the organization's current Zoho One configuration. Evaluate how Zoho applications are currently being used. Identify duplicate, inefficient, or disconnected processes. Develop an overall Zoho architecture and implementation strategy. Establish standards for how information moves between Zoho applications. Configure and optimize applications within the Zoho One ecosystem. Design CRM modules, fields, layouts, pipelines, workflows, and related processes. Build workflow automation and business process automation. Develop Blueprint processes where appropriate. Configure roles, permissions, teams, and organizational structures. Establish consistent data structures and relationships between applications. Design dashboards, reports, and management visibility. Assist with data migration, cleanup, and normalization. Develop integrations between Zoho and third-party platforms. Work with APIs, webhooks, Deluge, Zoho Flow, and related integration tools where appropriate. Identify situations where custom development is preferable to native Zoho functionality. Document architecture, workflows, integrations, and administrative procedures. Provide guidance and best practices for the long-term administration of the platform. Zoho One Assessment One of the initial priorities will be conducting a structured assessment of our existing Zoho One environment. The assessment should identify: Applications currently in use. Current configuration and utilization. Data relationships between systems. Existing workflows and automation. Integration points. Duplicate processes or unnecessary manual work. Data quality concerns. Security and permission issues. Reporting gaps. Opportunities to consolidate systems into Zoho. Areas where Zoho should integrate with external platforms rather than replace them. Recommended architecture and implementation priorities. The consultant should then help develop a practical roadmap for improving the environment. Customer Portal Initiative An important initiative will involve designing the underlying Zoho architecture necessary to support a more unified customer experience. The Church Online intends to develop custom customer-facing interfaces that allow customers to interact with information and processes that may be managed within Zoho. The Zoho Solution Architect will be responsible for defining the Zoho side of this architecture, including: Data structures. Application relationships. CRM architecture. Workflow processes. Automation. Permissions and security. API requirements. Integration points. Business rules. Data synchronization requirements. The custom user interface and SaaS development will be handled separately by our development team. The Zoho Architect should therefore be comfortable collaborating with software engineers and technical architects to clearly define how custom applications should interact with the Zoho ecosystem. Qualifications & Experience We are looking for someone with substantial hands-on experience implementing and managing Zoho One in real business environments. Strong candidates should have experience with several of the following: Zoho CRM. Zoho Projects. Zoho Desk. Zoho Books and/or Zoho Finance applications. Zoho Analytics. Zoho Flow. Zoho Creator. Zoho Forms. Zoho Sign. Zoho Campaigns or Marketing Automation. Zoho WorkDrive. Zoho SalesIQ. Zoho People or related organizational tools. Zoho APIs. Deluge scripting. Webhooks and third-party integrations. Candidates do not need to have used every Zoho application, but they should have enough experience with the Zoho ecosystem to understand how the applications work together. Technical Qualifications The ideal consultant should understand: Zoho One architecture. CRM architecture and data modeling. Workflow automation. Blueprint and business process design. Custom modules and relationships. Roles, profiles, permissions, and data security. Deluge scripting. Zoho APIs. OAuth and API authentication. Webhooks. Zoho Flow. Data migration and transformation. Reporting and analytics. Third-party SaaS integrations. Accounting and financial system integrations. Customer lifecycle automation. Integration architecture. Experience working with custom web applications or software development teams is strongly preferred. Ideal Consultant Profile We are particularly interested in someone who can operate at both the architectural and implementation levels. You should be able to speak with leadership about how a business process should work, translate that process into a technical architecture, and then configure or implement the appropriate solution within Zoho. You should also be comfortable identifying when a requested approach is unnecessarily complicated or when there is a better way to accomplish the objective. We value someone who: Thinks in terms of complete business processes rather than individual applications. Understands both business operations and technology. Can independently investigate and solve problems. Communicates technical concepts clearly. Documents solutions thoroughly. Can collaborate effectively with developers and technical architects. Understands the importance of maintainable architecture. Is comfortable making recommendations rather than simply implementing instructions. Because this role will require collaboration with leadership, staff, and technical team members, the consultant must have some regular availability for meetings and collaboration during our normal business hours of 8:30 AM–5:30 PM Eastern Time. Full availability throughout that entire window is not required, but there must be sufficient overlap to support effective communication and project coordination. Initial Engagement The initial phase of the engagement will focus on: 1. Understanding The Church Online's business operations and objectives. 2. Reviewing the current Zoho One environment. 3. Identifying immediate problems, inefficiencies, and opportunities. 4. Establishing a recommended Zoho architecture. 5. Developing a prioritized implementation roadmap. 6. Beginning implementation of the highest-priority improvements. 7. Establishing documentation and administrative standards. We are looking for someone who can move from assessment into implementation rather than providing recommendations without the ability to execute them. Engagement Deliverables Deliverables may include: Current-state Zoho assessment. Recommended Zoho One architecture. Data and application relationship documentation. Workflow and automation documentation. CRM architecture and configuration. Integration specifications. API and webhook requirements. Security and permission recommendations. Reporting and dashboard strategy. Implementation roadmap. Completed configuration and automation work. Technical and administrative documentation. Specific deliverables will be prioritized collaboratively as the engagement progresses. Definition of Success Success in this engagement means creating a Zoho environment that is: Well organized. Properly architected. Documented. Scalable. Secure. Maintainable. Integrated with the organization's other systems. Capable of supporting automation and future development. Easier for staff to use. Capable of providing leadership with better operational visibility. The goal is not simply to configure Zoho applications. The goal is to establish Zoho One as a well-designed operational platform for The Church Online. Contract Structure This is a contract consulting engagement, not a full-time employment position. We are looking for a consultant who can become familiar with our organization and systems and provide continuity throughout the architecture and implementation process. The consultant must maintain some working availability between 8:30 AM and 5:30 PM Eastern Time for collaboration, meetings, and coordination with our internal team. This does not require availability for the entire business day. The scope and compensation structure will be discussed based on experience, qualifications, and the anticipated engagement.
