Job Description

Our Company At DOXA, we are dedicated to connecting businesses with top-tier talent across various industries. Our mission is to deliver innovative solutions that drive exceptional outsourcing services, enabling companies to expand their teams and grow their operations seamlessly. What sets DOXA apart is our commitment to fostering a vibrant and supportive team culture. Join us and be part of a culture that prioritizes your happiness and well-being, ensuring you thrive both personally and professionally. The Role We're seeking an experienced Executive Operations Partner. This role is designed for someone with strong judgment, initiative, and business acumen who can operate several steps ahead as a trusted extension of the Founder. You'll play a key role in reducing the amount of information, coordination, and routine decision-making reaching the Founder — protecting his time, clarifying priorities, and ensuring commitments turn into action. Location: Must be in The Philippines – Remote. Environment: Philippines and International Teams. Language: Advanced English (B2+ - C1). Timezone: Monday to Friday – 10:00 AM – 7:00 PM PST. Contract: Full Time Requirements Education: Not specified; relevant high-trust executive support experience is the priority. Experience: 5+ years of progressive professional experience, including at least 3 years directly supporting a Founder, CEO, Principal, or C-suite executive in a high-trust environment; experience in consulting, professional services, security, legal, financial services, technology, or another confidential and client-sensitive environment preferred; experience supporting multiple senior leaders or balancing competing executive priorities a plus. Skills Exceptional written and verbal English communication skills with the ability to produce polished executive-level correspondence; proven ability to attend executive-level meetings, synthesize discussions into concise notes and action items, and independently drive next steps; experience managing or supporting a senior executive's inbox and calendar; familiarity with contracts, NDAs, proposals, and basic legal or business terminology a plus. Characteristics: Highly organized and detail-oriented while identifying what matters most; comfortable working autonomously, adapting to changing priorities, and making sound decisions in a fast-moving remote environment; exceptional discretion and confidentiality when handling sensitive business and personal information; strong executive presence and judgment; rapid learner who retains context without repeated explanation. Responsibilities Manage a complex executive calendar, scheduling, priorities, and follow-through with a focus on protecting the Founder's time, and determine what requires his attention versus what can be handled independently or delegated. Attend meetings alongside the Founder, capture concise and accurate notes, identify decisions and action items, and drive follow-through. Draft proposals, correspondence, follow-ups, and other executive-level business communications, progressively communicating on the Founder's behalf as trust and context develop. Support and progressively manage the Founder's inbox, anticipating needs, surfacing priorities, and resolving routine issues before they become bottlenecks. Coordinate across senior consultants, specialists, clients, vendors, and outside partners, maintaining accountability for commitments, deadlines, and deliverables coming out of executive meetings, while working within strict client security and confidentiality protocols.
