Position Summary Cedar One Construction \& Maintenance is a fast-growing company seeking a Construction Operations Coordinator who thrives in a dynamic environment and wants to grow alongside the business. This role serves as the operational backbone of our construction team, ensuring projects move efficiently from estimate to completion through disciplined execution of established processes. The ideal candidate is highly organized, detail-oriented, and capable of operating independently while managing multiple priorities. Success in this role means rigorously following and maintaining the systems, workflows, and communication standards that keep projects on track. By coordinating bids, maintaining project records, managing schedules, communicating with vendors and stakeholders, and ensuring every project progresses through the proper stages, you will enable our contractors and project teams to remain focused on delivering quality work in the field while supporting the continued growth and scalability of the company. Estimating \& Bid Coordination: Enter estimate data into company systems accurately and timely. Create material lists based on project scope and requirements. Solicit and track subcontractor bids for maintenance, renovation, and construction projects. Follow up with vendors to ensure timely bid submission. Prepare estimate documentation for review and approval. Project Setup \& Workflow Management: Create and maintain project records in HubSpot and other company systems. Establish tasks and workflows for projects moving through the estimate and production pipelines. Ensure projects progress through established stages according to company procedures. Maintain accurate project documentation and status updates. Scheduling \& Project Coordination: Coordinate vendor, subcontractor, resident, and internal scheduling requirements. Assist with project planning and timeline management. Monitor active projects and identify scheduling conflicts or delays. Ensure all stakeholders receive timely updates regarding project schedules and status. Vendor \& Subcontractor Coordination: Serve as a primary administrative point of contact for vendors and subcontractors. Solicit and track subcontractor bids for maintenance, renovation, and construction projects. Coordinate scheduling and communication with subcontractors throughout the project lifecycle. Follow up on outstanding items, documentation, and project requirements to keep projects moving forward. Manage subcontractor relationships by ensuring invoices are received promptly, submitted accurately, and processed for payment in a timely manner. Maintain professional, responsive communication standards with vendors and trade partners. Systems Compliance \& Data Management: Maintain accurate records in QuickBooks Online, HubSpot, and other company systems. Ensure all project information, documentation, and updates are entered according to company standards. Monitor workflows for compliance with established processes. Support reporting and operational tracking requirements. Required Qualifications: 2\+ years of experience in construction administration, construction coordination, project administration, or a similar construction support role. Experience working in a construction, maintenance, restoration, remodeling, or property improvement environment. Proficiency with QuickBooks Online (QBO). Experience coordinating subcontractors, vendors, project schedules, and project documentation. Strong organizational skills with the ability to manage multiple projects and competing priorities simultaneously. Exceptional attention to detail and commitment to process compliance. Strong written and verbal English communication skills. Ability to work independently with minimal supervision while maintaining a high level of accountability. Proficiency with Google Workspace Ability to work 8am-5pm PST Reliable high-speed internet connection and dedicated remote workspace. Preferred Qualifications Experience using HubSpot CRM. Experience supporting estimating, bid solicitation, and material procurement processes. Experience working with residential property management maintenance, renovations, turns, or capital improvement projects. Experience working with U.S.-based construction or service businesses. Familiarity with project scheduling and construction operations coordination. What Success Looks Like: Projects are accurately set up and tracked from estimate to completion. Vendors and subcontractors receive timely communication and follow-up. Invoices are collected and submitted promptly, supporting fast vendor payment. HubSpot, QBO, and project records remain accurate and up to date. Established workflows are followed consistently with minimal oversight.
