Permanent Australian dayshift schedule 100% remote work-from-home Competitive, negotiable hourly rate Long-term career opportunity with a growing Australian HVAC/construction business Supportive and collaborative team environment Work directly with Australian clients and projects About The Role We are seeking an experienced Project Manager / Contracts Administrator (CA) with strong construction and contract administration experience to oversee projects from planning and procurement through construction, completion, and close-out. The role ensures projects are delivered safely, on time, within budget, and in accordance with contractual requirements, quality standards, and relevant regulations . You will coordinate with Project Managers, Construction Managers, site teams, subcontractors, consultants, suppliers, clients, and authorities. The position requires strong commercial awareness, organisation, communication, problem-solving, and the ability to work independently with a high level of responsibility. This role also provides an opportunity for growth into a Project Manager position . Key Responsibilities Project Planning & Delivery Develop and manage project programs, including target, 3-month and 2–4-week schedules. Monitor project progress, resources, milestones, and critical paths. Coordinate design, procurement, construction, and delivery schedules. Provide weekly updates and monthly project status reports. Coordinate with site teams, subcontractors, consultants, suppliers, and manufacturers. Conduct site visits and track job progress, trade packages, and close-out activities. Procurement & Contracts Administration Manage procurement processes and administer subcontract and supply agreements. Procure trade packages and assess tenders and quotations. Coordinate EOI, RFQ, and RFT processes and ensure required plans and specifications are provided. Prepare tender comparisons, recommendations, procurement schedules, and pre-contract checklists. Negotiate with subcontractors and obtain additional quotations where required. Issue and administer subcontract agreements and purchase orders. Manage subcontractors from project commencement through completion and close-out. Review scopes of work, trade packages, shop drawings, and contract documentation. Maintain accurate records of correspondence, amendments, variations, and contractual documentation. Coordinate material ordering, quantity take-offs, scheduling, and estimating activities. Project Financial Management Manage project cost controls, forecasting, and cash flow. Monitor project margins and identify opportunities to improve profitability. Manage AP/AR, progress claims, subcontractor claims, consultant claims, and invoices. Issue and monitor purchase orders and trade lettings. Identify and report variations and cost impacts early. Maintain bonds and bank guarantee registers. Prepare monthly financial and BFM reports. Assess cost-effective construction alternatives with the Construction Manager. Monitor supplier dockets, invoices, and financial documentation. Risk & Contract Compliance Identify project risks and opportunities and assist with risk management plans. Manage claims, extensions of time (EOTs), variations, delay notices, and contractual requirements. Review trade risks during pre- and post-tender qualification. Ensure contractual time bars and obligations are met. Assess and recommend variation outcomes for PM approval. Review tender drawings against contract requirements. Control drawings, architect instructions, amendments, deviations, clarifications, and contract documentation. Maintain a complete audit file for each contract. Develop solutions and contingency plans to mitigate project risks. Stakeholder Management & Communication Maintain strong relationships with clients, consultants, subcontractors, suppliers, councils, authorities, and internal teams. Communicate proactively with site teams and project stakeholders. Track trade correspondence, RFIs, delay notices, and project actions. Liaise directly with clients to support successful project outcomes. Facilitate client, design, site, contractor, and project delivery meetings. Prepare and distribute meeting minutes and action items. Reporting, Safety & Leadership Prepare monthly project, financial, HSE/OH&S, procurement, and status reports. Provide accurate cost-to-complete and project status information to management. Maintain trade tracking sheets and close-out reports. Undertake site inspections and communicate issues to relevant stakeholders. Support compliance with safety, quality, contractual, and project requirements. Lead and coordinate project teams to maximise performance. Mentor and train junior staff. Coordinate consultants and stakeholders during the design phase. Support PM/CM with project delivery and perform closing/handover activities. Job Requirements Proven experience in Project Management within the construction industry . Strong background in Contracts Administration . Hands-on Procore experience is required. Strong knowledge of construction methodologies, procurement, and project delivery. Experience managing construction budgets, schedules, variations, progress claims, and contractual correspondence. Experience with subcontractor and supplier coordination. Experience with project financial tracking, cost control, forecasting, and reporting. Proficiency in project/construction software, with Procore experience mandatory ; MS Project, Aconex, Buildertrend, or similar is advantageous. Excellent communication, negotiation, organisational, and stakeholder management skills. Strong problem-solving and commercial awareness. Ability to work independently, manage competing priorities, and take ownership of projects. Strong attention to detail and ability to maintain accurate project and contract records. Preferred Qualifications Experience with Australian construction contracts and standards . Familiarity with residential, commercial, or industrial construction projects . Experience working with Australian clients, subcontractors, consultants, and project delivery teams. Australian construction compliance and contractual experience is highly desirable.
