Job Description

Position Summary The Bookkeeper & Project Coordinator is responsible for managing day-to-day accounting functions, maintaining accurate financial records, supporting construction project cost tracking, and coordinating key project activities. This role works closely with project managers, vendors, subcontractors, and internal stakeholders to monitor project budgets, timelines, documentation, and deliverables. The ideal candidate has construction bookkeeping experience, a strong understanding of cost codes and job costing, and proven experience supporting or coordinating multiple projects from planning through completion. Responsibilities Bookkeeping and Financial Management Process accounts payable and accounts receivable transactions. Record and reconcile daily financial transactions. Maintain accurate and up-to-date general ledger records. Allocate expenses to the appropriate projects, jobs, phases, and cost codes. Reconcile bank and credit card accounts. Assist with payroll processing and payroll-related reporting. Prepare monthly financial statements, project cost reports, and budget-versus-actual reports. Monitor outstanding invoices, payment schedules, and collections. Maintain accurate vendor and subcontractor financial records. Support month-end and year-end closing activities. Ensure accounting records and supporting documentation remain organized and audit-ready. Collaborate with project managers to verify project costs, commitments, and coding accuracy. Project Management and Coordination Assist with project planning, scheduling, budgeting, and resource coordination. Maintain project timelines, task lists, milestones, and deliverable trackers. Monitor project budgets, committed costs, change orders, and financial performance. Identify potential budget overruns, schedule delays, and project risks and promptly communicate them to management. Coordinate with project managers, vendors, subcontractors, and internal teams to support timely project completion. Track purchase orders, contracts, invoices, permits, change orders, and other project documentation. Assist with preparing project status reports, meeting agendas, minutes, and follow-up action items. Monitor project progress and ensure outstanding tasks are assigned and completed by the required deadlines. Support procurement and vendor coordination, including tracking material orders and delivery schedules. Help establish and improve project management, job-costing, and documentation processes. Ensure project records are complete, accurate, and properly maintained throughout the project lifecycle. Qualifications Required Previous bookkeeping, accounting, or project accounting experience. Experience working in the construction industry. Strong understanding of construction cost codes, job costing, and project-based accounting. Experience supporting project coordination or project management activities. Ability to track project budgets, timelines, milestones, and deliverables. Experience with accounting software such as QuickBooks, Sage, Foundation, or a similar platform. Strong attention to detail, organization, and documentation. Ability to manage multiple projects and priorities while meeting deadlines. Proficiency in Microsoft Excel, including spreadsheets, formulas, and financial tracking. Strong written and verbal communication skills. Preferred Project Management Professional (PMP) certification. Post-secondary education in accounting, bookkeeping, finance, construction management, project management, or a related field. Experience coordinating construction projects from planning through completion. Familiarity with project management software such as Microsoft Project, Monday.com, Asana, Smartsheet, Procore, or a similar platform. Knowledge of payroll processing and reporting. Experience managing change orders, purchase orders, project schedules, and subcontractor documentation. Familiarity with project management frameworks, risk management, and process improvement. Skills and Competencies Accurate data entry, bookkeeping, and recordkeeping. Strong project coordination and time-management abilities. Excellent analytical and problem-solving skills. Ability to identify financial discrepancies, project risks, and scheduling concerns. Strong communication and stakeholder coordination skills. Ability to work independently and collaboratively. Proactive, organized, and solution-oriented approach. High level of integrity, discretion, and confidentiality. Wage TBD Schedule Approximately 15 hours per week to start. Flexible working schedule.
