Full-Time | 40 hours per week | 8hrs a day | US Time Zone About The Role We are looking for an exceptional Chief of Staff to become the operational extension of our Founder and help drive execution across the business. This is not an administrative role. You will serve as the Founder’s strategic partner—bringing structure, driving accountability, coordinating cross-functional initiatives, and ensuring the business operates efficiently as it scales. You’ll work closely with leadership to create clarity across departments, keep strategic priorities moving, and build the operational systems that allow the Founder to focus on growth, partnerships, and long-term strategy. The trusted operator who keeps the organization running smoothly while enabling the Founder to perform at the highest level. This role is ideal for someone who enjoys both strategy and execution, thrives in fast-paced environments, and wants to become a senior business operator with a clear path toward Head of Operations / COO as the business grows. Key Responsibilities Executive Operations Own the Founder’s calendar, scheduling, and strategic priorities. Protect dedicated time for deep work, business development, travel, and strategic planning. Manage inbox triage and prioritize communications. Prepare daily executive briefings that include priorities, calendar overview, department updates, critical decisions, and blockers. Operational Leadership Act as the central communication hub across departments. Collect updates from leadership and ensure information reaches the appropriate stakeholders. Identify operational risks before they become larger issues. Keep projects moving without requiring constant Founder involvement. Leadership & Meeting Management Build agendas and prepare meeting materials. Facilitate leadership meetings and maintain operational cadence. Record key decisions and action items. Follow up with stakeholders to ensure commitments are completed on time. Project & Strategic Execution Track company-wide initiatives, launches, and strategic projects. Maintain visibility across cross-functional milestones. Coordinate teams to ensure projects remain on schedule. Escalate blockers and help resolve operational challenges. Content & Operational Coordination Coordinate the Founder’s content production workflow. Manage production schedules, contractors, editors, and publishing timelines. Ensure content projects remain organized and on schedule. Systems & Process Improvement Build and improve operational systems and workflows. Create documentation and scalable processes. Identify opportunities to improve efficiency through automation and AI. Requirements Non-Negotiables 5+ years of experience as a Chief of Staff, Executive Operations Manager, Operations Manager, Project Manager, Executive Assistant, or a similar strategic operations role. Exceptional organizational and project management skills. Outstanding written and verbal English communication skills. Strong executive presence and confidence communicating with senior leadership. Highly proactive with excellent decision-making and problem-solving abilities. AI fluent with hands-on experience using AI tools to improve productivity and workflows. Experience coordinating cross-functional teams and multiple priorities simultaneously. Ability to work independently with minimal supervision. Comfortable managing upward and respectfully challenging priorities when necessary. Nice to Have Experience working in high-growth startups or scaling businesses. Executive operations experience. Agency or consulting background. Experience with project management frameworks. AI workflow automation experience. Lean Six Sigma certification or willingness to pursue certification. Experience coordinating content production. Background supporting sales or operations teams. Success Metrics Leadership meetings operate efficiently with clear accountability and follow-through. Complete visibility across company priorities and departmental initiatives. Cross-functional teams remain aligned without relying heavily on the Founder. The Founder has protected time to focus on strategy, growth, partnerships, and business development. Operational systems become increasingly documented, scalable, and efficient. Cross-functional initiatives consistently move forward with minimal delays. Teams proactively communicate issues, progress, and priorities through the Chief of Staff. Are seeking a traditional Executive Assistant position. Growth Opportunity This is a long-term leadership opportunity with a clear path toward Head of Operations / COO . Job Offer: ₱62,000 per month during the probationary period. Up to ₱70,000 per month upon successful completion of the 6-month probationary period, subject to satisfactory performance and positive feedback, plus applicable benefits and bonuses. Up to ₱75,000 per month upon completing 24 months with the Company, subject to continued satisfactory performance, positive feedback, and achievement of agreed-upon scorecard metrics.
