Full-time Role (Remote - AU Business Hours) Job Outline: About The Role Seeking a highly organised, proactive, and people-driven Administrative \& Operations Assistant to support the day-to-day operations of our rapidly growing racing simulator business. This is a diverse role covering administration, customer service, sales support, supplier coordination, scheduling, inventory management, data entry, and general business operations. Beyond the technical skills, we’re looking for someone who is genuinely a people person — someone who builds real rapport with customers, treats them like friends and family, and goes above and beyond to deliver an outstanding experience every time. The ideal candidate takes ownership, solves problems without being asked, and keeps the business running smoothly behind the scenes. Key Responsibilities Administration \& Office Support Manage emails and daily correspondence. Prepare quotations, invoices, purchase orders, and documentation. Maintain customer records and CRM systems. Organise digital files, documents, and company records. Data entry and database management. Assist with reporting and administrative tasks. Customer Service \& Sales Support Respond to customer inquiries via phone, email, website, and social media. Follow up on leads and customer requests with urgency and warmth. Schedule showroom appointments and simulator demonstrations. Assist with order processing and customer updates. Coordinate delivery and installation bookings. Build genuine rapport with customers — treating them as friends and family, not transactions. Go above and beyond to ensure every customer interaction is a positive one. Supplier \& Purchasing Coordination Communicate with local and international suppliers. Place and track purchase orders. Monitor stock levels and assist with inventory management. Follow up on shipment schedules and delivery timelines. Maintain supplier records and pricing updates. Operations Support Coordinate installation schedules and technician bookings. Assist with project tracking and customer order management. Support event and simulator hire bookings. Help streamline business processes and workflows. Assist management with special projects and operational improvements. Marketing \& Content Support (not required) Upload products and content to the website (WordPress). Assist with social media scheduling and posting. Coordinate customer reviews and testimonials. Maintain product information and pricing accuracy. General Business Support Assist directors and management with daily tasks. Handle confidential information professionally. Support business growth initiatives as required. Take ownership of assigned projects and deadlines. Skills \& Experience Required: Essential Strong administrative experience. Excellent written and verbal communication skills. High attention to detail. Strong organisational and time-management skills. Ability to multitask and prioritise effectively. Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace. Experience with CRM systems. Professional phone manner. Ability to work independently. Quick thinker with the ability to pivot and adapt when priorities shift. Strong problem-solving skills with a ‘how do I fix this?’ mindset. Natural ability to build rapport and earn trust with customers and colleagues alike. Desirable Experience in eCommerce or retail operations. Experience with WordPress. Experience with inventory management systems. Basic marketing or social media experience. Experience dealing with suppliers and logistics. Interest in motorsport, gaming, or sim racing.
