Job Description

Responsibilities Review and process uninvoiced appointments at end of each week via Momence Compile and report weekly business numbers and KPIs for the owner's review Collect and organise organic lead data to support sales efforts Manage social media content scheduling and prepare the weekly creative list (Dirty 30 format) Build and maintain automations in Make to streamline recurring workflows Generate Red/Orange flag reports and prepare call/follow-up lists for Matty Monitor and chase overdue invoices via Xero, escalating where needed Process invoicing for placement students Conduct daily ad performance reviews and flag anomalies Maintain and update the ongoing client list Move new leads into the Call 1 lead flow Manage inbox including missed call reporting and voicemail summaries Process payroll timesheets Perform daily payment summary checks and resolve general bookkeeping or invoice errors Role Qualifications: Candidates must have a minimum of 2+ years of bookkeeping experience. Candidates must have a minimum of 2+ years of business administration experience. Candidates must have experience with Xero accounting software; experience with Momence is a strong advantage Comfortable working with automation tools such as Make (formerly Integromat) Strong attention to detail, particularly in financial data and invoice management Excellent written communication skills for client-facing email and inbox management Ability to work independently, manage recurring tasks without supervision, and proactively flag issues Experience with social media scheduling and content coordination is an advantage Familiarity with Notion for task and information management Experience in the health, wellness, or fitness industry is a plus A proactive problem solver with a high sense of ownership and reliability Requirements Laptop/Desktop: Processor: Intel i7 or higher, AMD Ryzen 7 or higher, RAM: 16GB or more, Storage: SSD with at least 512GB Monitor: Dual monitors or ultra-wide monitors for multitasking. Windows 10/11, macOS, or Linux (depending on preference and tools used).
