Key Responsibilities This role is primarily an Executive Assistant position focused on supporting the Business Owner with day-to-day administrative, operational, and organizational responsibilities. In addition to executive support, you'll also assist with digital operations and marketing initiatives to help keep the business running efficiently. Executive \& Administrative Support Manage the executive's calendar, schedule, and daily priorities, ensuring efficient time management. Coordinate meetings, appointments, and events, including preparing agendas and tracking action items. Manage and organize the executive's inbox, prioritize communications, and draft professional emails and correspondence. Coordinate travel arrangements, accommodations, and itineraries when required. Prepare reports, presentations, spreadsheets, and other business documents. Organize and maintain digital files, company documents, and standard operating procedures. Track projects, deadlines, and follow-ups to ensure tasks are completed on time. Act as the primary point of contact between the executive and clients, vendors, and business partners. Handle confidential and sensitive information with the highest level of professionalism and discretion. Identify opportunities to streamline administrative processes and improve operational efficiency. Perform general administrative tasks and provide day-to-day support to help the executive stay organized and focused on business priorities. Digital Operations \& Marketing Support Maintain and update the company Squarespace website, including pages, blog posts, images, and formatting. Create simple branded graphics for LinkedIn, presentations, and other marketing materials using Canva, Figma, or similar design tools. Schedule and publish content across LinkedIn and other digital platforms. Assist with podcast publishing, content organization, and basic video editing using AI-powered tools. Utilize AI tools such as ChatGPT, Claude, and other productivity platforms to draft content, improve workflows, and automate repetitive tasks. Conduct online research, prepare prospect lists, update CRM records, and provide administrative support for sales initiatives. Assist with maintaining vacation rental listings, updating property information, and supporting basic SEO and content optimization efforts as needed. REQUIRED QUALIFICATIONS 5\+ years of Executive Assistant and/or Virtual Assistant experience supporting U.S. or international executives Experience managing executive calendars and inboxes Excellent organizational and time management skills Strong written and verbal English communication skills Ability to manage multiple priorities with minimal supervision High level of professionalism and confidentiality Strong problem-solving and decision-making skills Reliable high-speed internet and professional home office setup TECHNICAL SKILLS Candidates should be comfortable using or quickly learning the following: Productivity Google Workspace (Docs, Sheets, Drive, Calendar, Gmail) Microsoft Office 365 Zoom Website Squarespace Design Canva Figma (preferred but not required) AI Tools ChatGPT Claude Other AI productivity tools Marketing \& CRM LinkedIn HubSpot or similar CRM platforms (preferred) Content Spotify for Podcasters Basic video editing tools (CapCut, Descript, Canva Video, or AI-powered editors) NICE TO HAVE This role is ideal for someone who enjoys being the trusted right hand of an executive while also contributing to the company's digital presence.
