Responsibilities Manage and respond promptly to incoming customer inquiries via phone, email, and website channels. Coordinate customer quotation requests and work closely with the estimating team to provide timely proposals. Process customer orders, forms, applications, and requests in accordance with company procedures. Enter and maintain accurate customer information in Zendesk CRM. Create and track orders in ClickUp to ensure efficient project management and fulfillment. Convert approved estimates into production orders using QuickBooks. Communicate customer requirements clearly to internal departments, including production, engineering, accounting, estimating, and logistics. Review and communicate engineering shop drawings to customers and obtain approvals when required. Manage order acknowledgments and coordinate balance payments prior to production or shipment release. Monitor customer accounts and coordinate with accounting regarding payment status, delayed payments, and outstanding balances. Provide customers with regular updates regarding order progress, production schedules, and shipment status. Maintain organized and up-to-date customer records and correspondence. Assist in maintaining and improving process documentation and internal procedures. Handle customer concerns and complaints professionally and work with internal teams to achieve satisfactory resolutions. Learn company products thoroughly to provide accurate information and recommendations to customers. Identify customer needs and opportunities to recommend appropriate products and services. Provide feedback to management and other departments to improve customer experience, sales processes, and operational efficiency. Provide administrative support to the marketing department, including assistance with CEU programs and sample requests. Ensure compliance with company policies, procedures, and quality standards. Participate in team meetings and collaborate effectively with colleagues across multiple departments. Requirements Minimum 2 years of experience in customer service, account coordination, order processing, or a related role. Experience using QuickBooks or similar accounting/order management software. Experience working with CRM systems; Zendesk experience is preferred. Excellent verbal and written English communication skills. Strong customer service mindset with the ability to build positive relationships with clients. Strong organizational skills with the ability to manage multiple projects and priorities simultaneously. High attention to detail and accuracy in data entry and record keeping. Ability to follow established processes while identifying opportunities for improvement. Comfortable coordinating with multiple departments and stakeholders. Strong problem-solving and conflict-resolution skills. Proficiency with Microsoft Office and Google Workspace applications. Experience working in a manufacturing, construction products, engineering, architecture, or project-based environment is an advantage. Ability to work independently, take initiative, and thrive in a fast-paced environment. Reliable computer, internet connection, and a professional remote work setup.
