This is a remote work from home opportunity for a North American Company in Mountain Time Zone $2,500 monthly US Dollar Our Mission We acquire, renovate, and manage multifamily townhome communities by operating with discipline, speed, and accountability. Position Summary ==================== This is not a traditional bookkeeping position. You will own the financial and administrative side of multiple construction and renovation projects while helping ensure projects stay on budget, materials arrive on time, permits move forward, and vendors get paid correctly. Your performance will be measured by outcomes-not activity. Primary Areas of Ownership ============================== Financial Management Own all day-to-day bookkeeping. Responsibilities Accounts payable Accounts receivable Bank reconciliations Credit card reconciliations Job cost tracking Monthly financial statements Vendor payments CPA coordination Financial record organization Performance Standards 100% of vendor invoices entered within 2 business days Bank reconciliations completed by the 5th business day each month Monthly financial package completed by the 10th business day Less than 1% accounting error rate Zero duplicate vendor payments Budget Management ===================== Every dollar has a purpose. You own knowing where it went. Responsibilities Build project budgets Update budgets weekly Track actual versus budget Forecast remaining costs Report overruns immediately Performance Standards Budgets updated weekly Budget variance reports delivered every Monday Cost overruns identified before exceeding 5% No surprise budget overruns Purchasing ============== Materials arriving late delay projects. Your goal is making sure that never happens. Responsibilities Obtain competitive pricing Issue purchase orders Schedule deliveries Track deliveries Maintain vendor relationships Negotiate pricing Performance Standards Materials ordered before work begins Less than 2% delivery delays caused by purchasing Minimum of three quotes for major purchases unless approved otherwise Purchase order accuracy above 99% Estimating Support ====================== Accurate estimates create profitable projects. Responsibilities Gather supplier pricing Request subcontractor bids Update estimating spreadsheets Compare estimated versus actual costs Improve estimating accuracy Performance Standards Material pricing updated within 48 hours Bid requests completed before deadlines Estimated costs within 10% of final project costs whenever reasonably possible Permitting & Construction Coordination =========================================== Projects cannot move without permits. You own keeping the process moving. Responsibilities Prepare permit applications Submit required documentation Coordinate inspections Track permit status Follow up with building departments Coordinate with contractors Performance Standards Permit applications submitted before scheduled construction No project delays caused by missed permit deadlines Inspection schedule maintained weekly Open permit log updated every Friday Administrative Operations ============================= Responsibilities Maintain project files Organize contracts Track change orders Maintain insurance certificates Track lien releases Maintain document organization Performance Standards Digital files current within 24 hours Zero missing project documentation Change orders documented before work begins Process Improvement ======================= One of your most important responsibilities is improving the business. If you fix something once, make sure it stays fixed. Performance Standards Submit at least one documented process improvement each month Create or improve SOPs whenever recurring issues are identified Eliminate repetitive mistakes through better systems Communication Standards =========================== We communicate early. We communicate clearly. We communicate with facts. Performance Expectations Respond to internal messages within 4 business hours Notify the owner immediately of issues affecting budget, schedule, permits, or vendors Never allow problems to remain hidden What Success Looks Like =========================== At six months: Financials are always current. Vendors trust us because they are paid correctly and on time. Projects stay organized. Budgets are predictable. Materials arrive before crews need them. Permits never become bottlenecks. Everyone knows the status of every project without asking.
