Position: ABA Intake Coordinator Location: Remote Schedule: U.S. Central Time business hours Employment Type: Full-Time About The Role We are looking for a warm, highly organized, and professional ABA Intake Coordinator to serve as the first point of contact for families interested in Applied Behavior Analysis (ABA) therapy. You will speak with parents and caregivers who have expressed interest in our services, explain how the ABA intake process works, gather the information needed to begin services, and follow up with families throughout the intake process. This is a phone-heavy, patient-facing role . The ideal candidate is an excellent English communicator who sounds natural and conversational when speaking with U.S.-based families. Responsibilities Call new patient leads promptly after they inquire about ABA therapy. Speak with parents and caregivers in a warm, professional, and empathetic manner. Explain our ABA therapy services and what families can expect during the intake process. Gather demographic, contact, insurance, diagnosis, referral, and other required intake information. Help families understand the steps required to begin services. Follow up with families who have not completed the intake process. Request and track required documents and information. Accurately enter and maintain information in our CRM, EHR, and other systems. Coordinate with internal clinical, scheduling, credentialing, and insurance teams. Escalate clinical or insurance questions to the appropriate team member. Maintain confidentiality and comply with HIPAA and company privacy requirements. Track leads and ensure no prospective family falls through the cracks. Qualifications Excellent spoken and written English. Highly clear, neutral English pronunciation that is easily understood by U.S. callers. Natural, conversational telephone presence. Comfortable spending a significant portion of the day making outbound calls. Strong customer service and interpersonal skills. Able to communicate patiently and compassionately with parents and caregivers. Strong attention to detail and data-entry skills. Comfortable learning healthcare terminology, insurance processes, and ABA terminology. Reliable internet connection and professional, quiet work environment. Able to work U.S. Central Time business hours. Preferred Experience Previous experience supporting U.S.-based customers or patients by phone. Healthcare intake, medical receptionist, patient coordinator, admissions, or scheduling experience. Experience working with ABA, behavioral health, pediatrics, therapy, or other healthcare services. Experience working with insurance information and patient benefits. Experience using a CRM, EHR, or healthcare practice-management system. Previous U.S. call-center or customer service experience.
