About The Company At Attorney Assistant, we’re a fast-growing provider of virtual staffing solutions, supporting law firms, executives, and businesses across the United States. We also operate Turn Key Ops, our sister company under the same leadership, which focuses on delivering high-quality virtual support across a broader range of industries. Overview We are looking for an organized and detail-oriented Billing Specialist to support a U.S. law firm with invoicing, accounts receivable tracking, client billing communication, spreadsheet updates, trust payment support, expense entry, and administrative finance tasks. The ideal candidate has very good English communication skills, basic math skills, spreadsheet experience, and the ability to stay calm, professional, and firm when speaking with clients about invoices, balances, and matter-related concerns. Key Responsibilities Check emails and text messages throughout the day and respond as needed Keep the invoice schedule spreadsheet updated and accurate Prepare and send client invoices based on the schedule and engagement letter Process invoices according to due dates and engagement terms Provide monthly matter status updates based on client time entries Review Firm Administration and Business Development time entries and request clarification when needed Track Firm Administration and Business Development hours by running reports and updating spreadsheets Assist with manual trust payment transfers and trust refund checks Monitor accounts receivable and help maintain AR at or under 2% Update the firm budget spreadsheet at the end of each month, due by the 10th day of the month Pay firm invoices for process servers and other vendors Enter expenses under the appropriate client or matter Communicate with clients professionally regarding invoices and matter concerns Required Skills and Qualifications Excellent English communication skills, both written and verbal Strong organization skills and attention to detail Basic math skills Basic Excel or spreadsheet knowledge Ability to stay calm, professional, and firm when discussing invoices with clients Comfortable reviewing reports, tracking data, and updating spreadsheets Reliable, responsive, and able to follow billing schedules accurately Able to handle sensitive financial and client information with confidentiality Able to work independently in a remote setup Preferred Experience Experience with billing, invoicing, accounts receivable, or client payment follow-up Experience supporting a law firm, accounting team, or administrative finance team Experience managing spreadsheets, reports, invoices, or budget trackers Experience communicating with clients about billing or account concerns Remote work experience is a plus Schedule , Compensation, and Benefits Full-time schedule, Monday to Friday Schedule 8:00 AM or 9:00 AM to 5:00 PM Central Time Starts at $5 USD/hour, with a possibility of a pay increase from a performance evaluation 100% remote, long-term opportunity PTO, referral incentives, and bonuses where applicable Note: This posting is for a current hiring need.
